Job Description – RCM Onboarding Specialist
Reports To: Director of RCM Business Development

Position Summary
The RCM Onboarding Specialist plays a critical role in ensuring new Revenue Cycle Management (RCM) clients are set up for long-term billing success. This role owns the configuration and onboarding process from kickoff through handoff to the Testing & Projects team, ensuring every payer, service, schedule, and setting is accurately built so claims can flow cleanly and get paid on time.
This role works closely with clients, internal teams, and payer portals to make sure all billing infrastructure is established correctly and documented thoroughly.
Key Responsibilities
Electronic Payment (ERA) & Remittance Setup
Guide new clients through the setup of electronic payments and remittance (ERA) enrollment.
Ensure all information is configured correctly for smooth payment posting.
Payer Portal Access & Credential Coordination
Collect, organize, and validate payer portal credentials.
Ensure appropriate AxisCare team members have secure access for eligibility, authorization, and claim-status functions.
EVV Configuration
Configure Electronic Visit Verification (EVV) rules based on state and payer requirements.
Ensure visits flow accurately into the billing process.
Payer Configuration in AxisCare
Build and validate payer profiles, including IDs, billing rules, and submission details.
Document payer nuances, requirements, and any exceptions.
Service & Fee Schedule Setup
Configure billable services (codes, modifiers, units, and related details) for each payer.
Add and maintain new services as requirements evolve.
Claims & Billing Rules
Establish correct claim creation logic, payer sequencing, and billing settings.
Ensure claims route properly to support accurate and timely submission.
Client Communication & Expectation Setting
Participate in onboarding calls with new clients.
Clearly communicate requirements, timelines, and next steps.
Deliver a high-quality, professional onboarding experience aligned with AxisCare values.
Handoff to Testing & Projects
Provide a clean, organized handoff to the Testing & Projects Manager, including all configuration notes, outstanding items, and readiness details.
Required Experience, Skills, & Qualifications:
2+ years of experience in medical billing, RCM, or third-party payer billing (Medicaid, MCOs, VA, commercial plans).
Understanding of claims submission, remittances/EOBs, denials, and reprocessing.
Experience working in payer portals and RCM systems.
Proficiency with productivity tools (email, spreadsheets, shared documents, task or project tools such as Asana or Jira).
High attention to detail—You consistently deliver accurate configuration and documentation.
Strong written communication—Clear documentation that allows others to understand status quickly.
Project-management mindset—Ability to manage multiple simultaneous onboardings and prioritize effectively.
Customer-service mindset—You’re confident, warm, and able to deliver a “white-glove” experience while maintaining process guardrails.

Preferred Experience, Skills, & Qualifications:
Experience in home care, home health, or multi-state Medicaid billing.
Experience with VA billing.
Prior work with EVV integrations.
Experience in RCM outsourcing or billing services environments.
Working Conditions:
