Job Summary/Objective:
The Candidate Experience Specialist plays a critical role in ensuring a smooth and positive candidate experience throughout the interview process. This role is responsible for scheduling interviews, managing communication with candidates and hiring managers, and providing administrative support to the Talent Acquisition team. The ideal candidate is highly organized, detail-oriented, and has a passion for creating a seamless and efficient recruiting process.
Essential Functions/Responsibilities:
• Manage the interview process for candidates across various departments and roles, coordinating phone, video, and in-person interviews.
• Calendar and administrative management - scheduling intake calls, coordinating meetings with vendors and project teams, drafting summaries as appropriate, etc.
• Utilize Greenhouse (Applicant Tracking System) to schedule interviews, track candidate progress, and maintain accurate records.
• Communicate effectively with candidates, providing timely updates on interview logistics, answering questions, and ensuring a positive candidate experience.
• Partner with hiring managers and their executive assistants to understand the scheduling preferences and ensure a seamless interview process.
• Maintain the interview calendar, ensuring all interviews are scheduled and confirmed promptly.
• Assist with travel arrangements for candidates, as needed.
• Prepare interview materials and ensure interview spaces are set up appropriately.
• Provide general administrative support to the Talent Acquisition team, including data entry, reporting, and other tasks as assigned.
Required Skills/Qualifications:
• Bachelor's degree or equivalent experience in a related field.
• Experience in a scheduling or administrative role, preferably in a recruiting environment.
• Proven proficiency in Greenhouse, Thrive or a similar Applicant Tracking System/CRM.
• Excellent organizational, time management, and prioritization skills.
• Strong attention to detail and accuracy.
• Exceptional written and verbal communication skills.
• Ability to work independently and as part of a team.
• Proficient in Google Workspace (Gmail, Google Calendar, Google Docs, etc), and Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
Preferred Skills/Qualifications:
• Experience in the healthcare or life sciences industry.
• Knowledge of recruiting best practices.
• Previous project management experience related to HR and/or Talent topics
• Familiar with Project Management tools such as SmartSheet, Notion etc.
The base salary range reflects our good faith estimate at the time of posting. Final compensation will depend on factors like experience, skills, and location. The role may also be eligible for an annual bonus and long-term incentives. Compensation and benefits may be updated in the future.
Salary base range
$100,000—$140,000 USD
