What awaits you
The Quality Systems Manager is responsible for designing, maintaining, and continuously improving the company’s Quality Management System (QMS) to ensure compliance with applicable standards, regulations, and customer requirements. This role operates as an individual contributor and works cross-functionally with different teams to embed quality practices into software development and delivery processes.
Quality Management System (QMS)
Establish, maintain, and improve the Quality Management System in alignment with standards such as ISO 9001, ISO 27001, or other relevant frameworks.
Own quality policies, procedures, work instructions, and records.
Ensure documentation is current, accessible, and fit for a fast-paced software environment.
Maintaining process documentation as part of the QMS, while ensuring consistency, standardization, and version control.
Ensure embedding roles, responsibilities, and process ownership into QMS artifacts
Compliance & Audits
Plan, coordinate, and support internal and external audits (certification, customer, regulatory).
Act as the primary point of contact for auditors and certification bodies.
Track nonconformities, corrective actions, and preventive actions to closure.
Monitor regulatory and standards updates relevant to software development and IT services.
Process Improvement
Identify gaps and inefficiencies in existing processes and recommend improvements.
Support teams in adopting best practices for quality, risk management, and continuous improvement.
Facilitate root cause analysis and lessons learned for quality issues and incidents.
Design, document, and maintain end-to-end business and quality processes, ensuring alignment with software development and operational workflows.
Develop and maintain process maps, swim lane diagrams, and flowcharts to clearly visualize process steps, handoffs, and system interactions.
Define and document roles and responsibilities for key processes, ensuring clear ownership and accountability across teams.
Create and maintain RACI matrices to clarify decision-making authority, responsibility, and escalation paths.
Periodically review and refine processes based on audit findings, metrics, and continuous improvement initiatives.
Cross-Functional Collaboration
Partner with internal teams to integrate quality requirements into SDLC and operational processes.
Provide guidance and training on quality standards, processes, and compliance expectations.
Influence without authority, ensuring alignment across teams despite having no direct reports.
Metrics & Reporting
Define and track quality KPIs and metrics (e.g., audit findings, process adherence, improvement initiatives).
Prepare management reports and dashboards on QMS performance.
Support management reviews with data-driven insights and recommendations.
What should you bring along
Mandatory (Requirements / Skills)
Bachelor’s degree in Engineering, Computer Science, Information Systems, or a related field (or equivalent experience).
5+ years of experience in Quality Management, Compliance, or Process Improvement within a software, SaaS, or IT services environment.
Strong knowledge of quality and compliance frameworks such as ISO 9001, ISO 27001, or similar.
Experience supporting internal and external audits.
Solid understanding of software development life cycle (SDLC) and Agile/DevOps practices.
Strong stakeholder management and influencing skills.
Detail-oriented with a pragmatic, business-focused mindset.
Comfortable balancing compliance requirements with agile software development.
Proactive, structured, and improvement-driven.
Excellent documentation, analytical, and organizational skills.
Excellent English verbal and written skills
German communication skills will be a plus
Nice to have
ISO Lead Auditor or Internal Auditor certification.
Experience working in regulated or customer-driven compliance environments.
Familiarity with risk management, information security, or data protection requirements (e.g., GDPR).
Experience working in distributed or international teams.
