Reporting to the Logistics & Inventory Manager, the Purchasing Associate is responsible for managing parts inventory, processing purchase orders, coordinating with vendors, and ensuring timely and cost-effective procurement to support operational needs. This role oversees warranty submissions, vendor returns, and inventory tracking while maintaining accurate documentation and compliance with company policies. The position also provides proactive communication to customers regarding part availability, order status, and scheduling, ensuring a high level of service and efficiency.

Responsibilities:
This position will include, but not be limited to the following:
Parts Inventory Management:
Maintain special order inventory and ensure materials are booked to jobs promptly or returned to the vendor if cancelled.
Ensure timely ordering and restocking of parts to meet operational demands.
Monitor purchasing trends and provide a list of frequently ordered items to the Logistics and Inventory Manager for review.
Ensure all warranty claims are submitted within 10 business days, warranty parts are returned to the vendor, and the warranty tracker is accurately maintained.
Oversee and coordinate weekly vendor returns with the warehouse team
Purchase Order Processing & Documentation:
Create and process purchase orders in alignment with company policies.
Tracking of technician purchase orders in alignment with company policies.
Ensure proper documentation and approval procedures for all purchases.
Provide updates on order delays, backorders, and alternative sourcing solutions.
Vendor and Supplier Coordination:
Communicate with vendors to place orders, track shipments, and resolve discrepancies.
Assist in sourcing and evaluating suppliers to ensure quality and cost-effectiveness.
Maintain accurate records of vendor contact information, pricing, and shipment timelines.
Cost Control & Compliance:
Ensure all purchases align with budgetary guidelines and cost-saving initiatives.
Verify invoices against purchase orders and coordinate with Accounts Payable for accurate payments.
Maintain purchasing records for financial tracking and compliance audits.
Review inventory levels and submit min/max recommendations to the Logistics and Inventory Manager
Customer Communication:
Provide customers with timely updates on their part order status and expected delivery timelines.
Address customer inquiries regarding product availability, order fulfillment, and ETA of parts.
Coordinate and schedule part replacement appointments for customers once their part has arrived.
Ensure all customer tasks are addressed within 24 business hours, prioritizing no-heat calls
Qualifications Include:
2+ years of experience in purchasing, inventory management, logistics, or a related administrative role
Experience processing purchase orders and verifying invoices
Strong understanding of inventory control processes (min/max levels, restocking, warranty tracking)
Strong organizational skills with the ability to manage multiple priorities and meet deadlines
Excellent communication skills for vendor coordination and customer updates
Detail-oriented with high accuracy in documentation and data entry
