Overview
We are seeking a highly detail-oriented and proactive PO & Production QC Coordinator to manage purchase order timelines, coordinate third-party inspections (e.g., QIMA), and ensure smooth communication between production, planning, and logistics teams.
This role owns the operational heartbeat of production — from PO creation to final QC approval — ensuring orders move forward accurately and on time.
Core Responsibilities
Purchase Order Management
• Monitor and track all open POs from creation through shipment
• Confirm PO issuance dates and escalate delays
• Determine whether POs need to be moved forward or pushed back based on production realities
• Communicate quantity changes or shipment splits (e.g., “Only X pieces ready — can we ship Y on this date?”)
• Maintain updated production calendars and PO tracker
Production Coordination
• Liaise with factories to confirm production status and readiness
• Validate production completion timelines
• Identify risks early and flag delays before they become problems
• Coordinate partial shipments when needed
Quality Control (QC) Management
• Schedule inspections with third-party QC providers (e.g., QIMA or similar)
• Ensure inspections are booked when production is complete
• Manage QC portal documentation and follow-ups
• Track inspection results and resolve failed inspections
• Communicate QC approvals to logistics and planning teams
Cross-Functional Collaboration
• Work closely with Planning, Supply Chain, and Logistics teams
• Provide clear updates on readiness, shipment timing, and risk
• Ensure production capacity aligns with forecasted demand
• Escalate production or quality issues with recommended solutions
KPIs
• % of POs shipped on time
• Inspection scheduling accuracy
• Reduction in last-minute shipment changes
• Zero missed QC bookings
• Accurate PO tracker maintenance
Qualifications
• 2–5+ years in production coordination, supply chain, or PO management
• Experience working with factories and third-party QC providers (QIMA preferred)
• Strong Excel / Google Sheets skills
• Highly organized with strong follow-through
• Ability to manage multiple POs simultaneously
• Clear communicator with factory-level English proficiency
