The Opportunity
Rupertsland Institute is seeking a Provincial Project Project Coordinator to join us in our Edmonton office. Reporting to the Associate Director – Provincial Projects and Initiatives, the Provincial Project Coordinator will provide project coordination and administrative support for the development, implementation, monitoring, and evaluation of provincial projects and initiatives. The role assists with coordinating project activities, maintaining documentation, tracking project progress and budgets, and supporting internal and external stakeholder engagement. The Provincial Project Coordinator will be working closely with the Associate Director to help ensure provincial initiatives align with Rupertsland Institute’s mandate and annual work plan and are delivered efficiently and in accordance with organizational policies and procedures. The successful candidate will be detail-oriented, highly organized, and efficient, with strong project management skills and communication skills.
Key Responsibilities:
Provide coordination and administrative support to the Associate Director in the planning and implementation of provincial projects and initiatives.
Assist with the coordination of programs and training projects that support Rupertsland Institute’s Métis Training to Employment mandate and the annual operating plan.
Support the coordination of project activities including planning, implementation, monitoring, and evaluation.
Assist with gathering labour market information and stakeholder input to support project planning and program development.
Coordinate project documentation, timelines, and activity tracking to support project delivery.
Assist with tracking project budgets, allocations, and expenditures to support alignment with approved budgets.
Review project payment claim forms for completeness and accuracy and enter project and payment information into internal financial systems including FDM and KETO.
Maintain project documentation and records, including digital and hard copy files, in accordance with Rupertsland Institute policies and procedures.
Support the preparation and maintenance of contribution agreements, project contracts, and related documentation.
Assist with monitoring project activities and collecting required documentation in accordance with contribution agreements and project contracts.
Support quality assurance processes related to client management systems, contracts, financial documentation, and activity tracking.
Prepare draft reports, briefings, presentations, and quarterly updates related to provincial initiatives.
Maintain project files and documentation to support program monitoring, reporting, and audits.
Collaborate with Regional Teams and leadership to support client recruitment and participation in provincial projects.
Maintain communication with internal teams regarding project processes, timelines, and requirements.
Support engagement with post-secondary institutions, government, industry, and community organizations related to provincial initiatives.
Coordinate and support meetings, working groups, and project committees as required.
Assist with preparation of funding applications, grant documentation, and project proposals as required.
Other duties as required or assigned.
Skills and Competencies:
Excellent organizational and project coordination skills with the ability to manage multiple priorities.
Strong written communication skills and the ability to prepare reports and project documentation.
Strong analytical and problem-solving abilities.
Financial literacy with the ability to track project budgets and financial documentation.
Strong communication and collaboration skills with internal teams and external partners.
Proficiency in Microsoft Office Suite (Word, Excel, Outlook, Explorer, Powerpoint) and internal tracking systems along with the willingness to learn new software programs.
Ability to adapt to changing priorities in a dynamic environment.
Strong interpersonal skills and the ability to build collaborative relationships.
Strong attention to detail and commitment to data accuracy.
Timely and accurate completion of administrative and project support deliverables.
Maintenance of organized, compliant, and accessible records and systems.
Ability to manage administrative tasks in a fast-paced, high-volume environment.
Ability to work independently and collaboratively in a fast-paced environment with minimal supervision.
Knowledge of privacy legislation (FOIP, PIPA) and commitment to confidentiality and ethical standards.
Cultural sensitivity and awareness, including an understanding of Métis culture and social, economic, and employment barriers faced by Indigenous individuals.
Qualifications:
Post-secondary education in project management, business administration, or a related field.
Minimum of 3–5 years of experience in project coordination, administration, or program support.
Experience supporting multiple projects and competing deadlines.
Experience working with contractors, consultants, and cross-functional teams.
Experience supporting community program or project implementation is an asset.
Experience working in a nonprofit organization is an asset.
Other Requirements:
Ability to work a regular schedule of 8:30am-4:30pm Monday to Friday.
Ability to work evenings and weekends, as required.
Ability to travel throughout Alberta, as required.
Valid driver’s license and reliable transportation.
Submission of a clear Vulnerable Sector Police Information Check.
