Prospecting Support Virtual Assistant (Sales Support)

Overview

We are seeking a proactive and detail-oriented Prospecting Support Virtual Assistant to support a NYC-based sales team with outbound prospecting and lead management. This role is ideal for someone who is organized, process-driven, and comfortable working with data, outreach tools, and structured follow-up systems. You will play a key role in ensuring consistent and efficient communication with prospective customers while maintaining accurate records of all outreach activity.

Key Responsibilities Lead Management & Data Organization

● Maintain and manage a master list of prospective customers

● Clean, organize, and update prospect data regularly

● Research and enrich missing contact information (e.g., email addresses, company details)

Outreach & Communication

● Send initial outreach emails using pre-approved templates

● Personalize messaging where required while maintaining brand tone

● Ensure timely and professional communication with prospects

Tracking & Follow-Ups

● Track outreach activity, responses, and follow-ups in a centralized system

● Manage follow-up cadence to ensure no leads are missed

● Update lead statuses and maintain accurate records at all times

Reporting & Coordination

● Maintain clear and consistent reporting on outreach activity and results

● Identify and flag interested or qualified leads

● Route qualified prospects to the appropriate internal team members

Requirements Core Skills

Experience

● Previous experience in a virtual assistant, sales support, lead generation or administrative role
