About the Role
AES is looking for Proposal Coordinator to join our growing Proposal Specialist team, supporting business development initiatives by delivering compelling and competitive proposals. This is a newly created hybrid role reporting to the Associate, Proposal Manager, with the option to be based in Victoria, Vancouver or Kelowna.
You will work with different specialized technical and engineering teams across all AES offices leading the production of proposals with a focus on making an impact on the communities we serve.
Key responsibilities:
Lead the full lifecycle of proposal process, from pursuit launch to final submission, ensuring deadlines, accuracy, compliance, and quality standards are met.
Ensuring proposals meet client requirements, reflect brand consistency, and highlight differentiators.
Analyzing Request for Proposal (RFP) requirements, creating outlines, and managing the submission schedule.
Writing and editing proposal content, executive summaries, and key messaging sections to ensure clarity, professionalism, and client alignment.
Translate technical concepts into clear, persuasive language that directly address client needs and evaluation criteria.
Collaborating with cross-functional teams across multiple offices to gather information and develop content.
Manage proposal schedules, inputs, reviews, and production while balancing multiple concurrent priorities.
Support business development efforts by maintaining and updating proposal content, including corporate resumes and related frequently used materials.
Our Must Haves:
1 to 4 years of experience in proposal development, ideally within professional services, engineering, consulting, or a related technical environment.
Bachelor’s degree specializing in Marketing, Communications, English, or a related field.
Exceptional writing/editing skills and advanced proficiency in MS Office (Word, PowerPoint, Excel). Adobe Creative Suite experience an asset.
Exceptional attention to detail, project management, and written communication skills.
Ability to manage multiple priorities with strict deadlines.
Demonstrate a flexible, team-oriented approach with a willingness to support a range of tasks, embracing both strategic responsibilities and routine administrative needs as they arise.
Compensation: $65,000 – 75,000
