About the Role
As a Property Management Support, You will provide essential administrative and operational support to the property management team. Your primary responsibility will be to assist with various tasks related to property management and lease administration. Key Responsibilities
Relationship Management
Ensure the professional image of the company is upheld through both phone and email communication.
Provide the highest level of service and helpfulness over the phone and on email to both clients and team members.
Maintaining the company’s standards and procedures whilst managing the role remotely.
Communicating effectively to all members of staff.
Sales Support:
Prepare Comparative Market Analysis (CMA) reports to identify market rent for lease renewals, providing crucial data for decision-making processes.
Admin Support:
Collate correspondence directed to landlords and tenants regarding lease renewals, seeking instructions and intentions to ensure timely and accurate communication to all parties involved.
Utilise Docusign software to send new leases for signing. Follow up on the signing process to ensure completion within designated timelines.
Set up mail redirection for properties, including council rates and water bills, to ensure seamless management of billing and communication.
Respond to tenant reference requests in a timely manner, providing accurate and relevant information as per established guidelines.
Assist in the administration process for changes in shared tenancy, ensuring proper documentation and communication are carried out.
Support Property Managers in the tenant application process by collating all required documentation, ensuring completeness and accuracy.
Perform ad hoc administrative tasks as required, demonstrating flexibility and adaptability in handling various responsibilities efficiently.
Prepare Letter of Offer for Property Management Team.
Prepare Rent Increase documents for the Property Management Team.
Provide support for the Property Management Team with Condition Reports, Template creation and comments.
Compliance:
Coordinate smoke alarm compliance for all properties, organising inspections and necessary maintenance to ensure compliance with safety regulations.
Following up on expired remote inspections.
Other Responsibilities
You will coordinate with the Property Management Team to ensure that requests and concerns are properly addressed.
Perform other related tasks and duties that may be assigned by the client later on.
About You
Fluent written and spoken English
At least 5 years of work experience in similar roles (ideally within Australia)
Property Management experience is a huge plus
Strong problem-solving abilities and lateral thinking
Great Interpersonal skills and ability to foster relationships through spoken and written communication
