Position summary:

Dialogue McGill, https://www.dialoguemcgill.ca/, is a large Health Canada-funded initiative based in the Ingram School of Nursing. The primary objective of Dialogue McGill is to support activities that address health care and social services access through: (1) language training to increase health and psychosocial services professionals’ communication skills and retention rates, (2) innovative human resource initiatives aimed at increasing the number of bilingual professionals in Québec’s public sector, and (3) initiatives for research and program evaluation in the aforementioned areas.

The position will support the Associate Director with the implementation and execution of strategic decisions for the Language Training Program, as well as operational processes and procedures. The Program Manager will also supervise the Language Training Program’s student affairs staff and activities within Dialogue McGill. This position will be a management role with two direct reports.

Primary Responsibilities:

Administration and Supervision:

• Assess, revise and implement administrative policies, processes and procedures to ensure the Language Training Program’s activities meet or exceed established quality requirements;
• Supervise and support the activities of the Administrative Student Affairs Coordinator and Student Affairs Coordinator;
• Responsible for Language Training Program funding applications, review committee meetings, and post-award paperwork, including the drafting of subaward agreements with public institutions;
• Assess and resolve the program’s administrative problems and staff concerns. Formulate recommendations and escalate to the Associate Director as needed;
• Work closely with the Financial Officer on reconciliation and budget monitoring for the Language Training Program;
• With the support of the administration team, triage and respond to inquiries from professionals taking non-credit workshops and potential learners;
• Update program standard operating procedures manuals and policies
• Collaborate with the team in writing, editing and proofreading documents, website content, and other program-relevant materials;
• Work closely with the Associate Director to monitor program progress and ensure that milestones are met on time;
• Write financial, institutional, and sponsor progress reports as per the funding sponsor contribution agreement.

Program Strategy Support and Promotion:

• As the primary contact for the Language Training Program, enhance Santé Québec and public health and social services institutions partnerships, with most communications and meetings in French;
• Implement and manage committees in collaboration with the Associate Director and review committee members such as program eligibility, recruitment of professionals to the program, website, branding, etc.;
• Ensure close links between partners and program regarding all training activities and develop potential new activities that enforce these links (e.g., possible language training activities for health centres serving indigenous communities in Québec);
• Organize and participate in relevant Dialogue McGill meetings and events;
• Support program recruitment strategies, make recommendations for future improvements and manage their implementation;
• Maintain a database for 1,750+ professionals participating in the program each year then compile data for inclusion in federal and internal reports;
• Provide statistics and write Language Training Program financial, institutional, and sponsor progress reports as per the federal funding sponsor contribution agreement;
• Completion of other relevant program activities as needed.

Other Qualifying Skills and/or Abilities

• Bachelor’s degree and minimum of three years of project management experience;
• Advanced French fluency and High Intermediate/Advanced English fluency, written and spoken;
• Master’s degree in a relevant field is an asset.
• Proven experience in all aspects of project management, including budget and funding awards management.
• Detail-oriented with excellent problem-solving skills.
• Must exhibit advanced organizational, supervisory, and teamwork skills. Demonstrated ability to manage multiple projects, adhere to timelines, and prioritize tasks. Knowledge of McGill University’s administration and financial policies is an asset.
