Role Purpose
The PMO & Executive Assistant to the CFO is a high-impact, high-trust strategic role responsible for enabling the CFO to execute MDLBEAST’s transformation agenda across finance, strategy, governance, performance management, and cross-business initiatives.
This role acts as the operational brain and execution engine of the CFO Office- ensuring that all projects, committees, deliverables, action plans, and communications are professionally structured, tracked, executed, and closed.
The role combines elite project management, executive support, analytical capability, communication excellence, and operational sophistication.
Key Responsibilities
• CFO Office PMO Leadership
• Own and manage the CFO Master Initiative Portfolio (Finance Transformation, ERP, Costing, FP&A, Governance, Committees, IPO readiness, etc.).
• Build and maintain:
• Master project roadmap
• Milestone trackers
• RACI matrices
• Dependency maps
• Risk & issue logs
• Decision trackers
• Ensure all initiatives have:
• Clear scope
• Owners
• Timelines
• KPIs
• Deliverables
• Closure confirmation
• Prepare weekly CFO execution dashboards.
2. Meeting Governance & Executive Notes
• Attend all CFO, Finance Leadership, Steering Committee, and Transformation meetings.
• Produce executive-quality minutes including:
• Decisions
• Action items
• Owners
• Deadlines
• Dependencies
• Escalations
• Convert discussions into:
• Action plans
• Project tasks
• Follow-up trackers
• Ensure 100% closure discipline.
3. Strategic Coordination & Follow-Up
• Follow up with all stakeholders on behalf of the CFO with authority and professionalism.
• Escalate delays, risks, and slippages proactively.
• Act as CFO’s single coordination point across:
• Finance
• Strategy
• Legal
• HR
• Commercial
• Events
• External advisors
4. PowerPoint, Excel & Documentation Excellence
• Build and refine:
• Board decks
• Steering committee packs
• Strategy presentations
• KPI dashboards
• Financial summaries
• Initiative updates
• Ensure:
• Perfect formatting
• Logical flow
• Executive storytelling
• Visual clarity
• Develop Excel trackers for:
• Budget tracking
• Initiative impact
• Cost savings
• Revenue initiatives
• Resource allocation
• Maintain a structured CFO Office document library.
5. Software & Tools Ownership
Own and manage CFO Office usage of tools such as:
• ClickUp / Monday / Asana / Smartsheet
• Excel advanced tracking
• Power BI / dashboards (coordination level)
• SharePoint / Drive structuring
• Calendar & task integration
Ensure all CFO initiatives are digitally tracked with discipline.
6. Executive Assistant Scope
• Manage CFO calendar strategically (not administratively).
• Prepare agendas for every meeting.
• Manage travel, visas, accommodation, itineraries.
• Handle confidential documents.
• Manage personal executive logistics when required.
• Act as CFO’s gatekeeper and priority manager.
7. Confidentiality & Trust
• Handle board, financial, legal, and HR sensitive matters with absolute discretion.
• Act as a trusted extension of the CFO.
Success Measures
The role is successful when:
• CFO has zero execution blind spots.
• All initiatives are tracked, moving, and closing.
• Meetings produce actions and results.
• No commitments are forgotten.
• CFO time is protected and optimized.
• Stakeholders are aligned and accountable.
• The CFO office operates like a top-tier investment firm / consulting PMO.
