Summary
The Project Lead plays a key role in the execution of both project freight and specialized freight within Q-Line’s Projects Division. This position is responsible for leading day-to-day coordination and execution of assigned scopes, working closely with customers, vendors, and internal teams to ensure freight movements meet all safety, service, and scheduling requirements. Functioning as the primary operational owner, the Project Lead ensures project and specialized requirements are properly scoped, costed, communicated, and executed. They work in tandem with a Project Coordinator, who supports administrative and logistics functions, while the Project Lead holds greater operational authority and decision-making responsibility. Reporting to the Project Manager, the Project Lead supports planning, SOP development, and field execution, escalating exceptions, risks, and resource constraints as needed. The role requires strong subject matter knowledge in over dimensional and specialized freight, as well as effective coordination across multiple departments including Permits, Pilots, and Dispatch.
Key Responsibilities & Accountabilities
Project Execution & Oversight
• Own the day-to-day execution of assigned project and specialized freight scopes from planning to close-out.
• Coordinate directly with clients, vendors, operations, and third-party partners to meet all project deliverables.
• Lead internal and external communications, including project kickoffs, client updates, SOP briefings, and ongoing
coordination.
• Track freight movements proactively and respond swiftly to disruptions or exceptions.
Customer Engagement & Communication
• Serve as the primary point of contact for customer communication on assigned projects.
• Provide freight status updates, coordinate scheduling, and resolve inquiries with urgency and professionalism.
• Participate in customer meetings to review execution plans or performance metrics.
Quoting & Rate Management
• Provide freight pricing and value-added service estimates in collaboration with Project Estimates and the Project
Manager.
• Ensure clear communication of final pricing and alignment with execution scope.
• Manage scope changes and coordinate with the Project Manager for necessary pricing or contract adjustments.
Collaboration with Project Coordinator
• Direct the Project Coordinator on execution support tasks including LME entries, permit applications, document
control, and reporting.
• Review load schedules and reporting outputs to ensure operational accuracy and readiness.
Internal Coordination & Documentation
• Maintain up-to-date records in internal systems, including load status, customer communication, and execution
milestones.
• Monitor equipment availability, driver assignments, and delivery timelines with the Dispatch team.
• Escalate resource constraints, scheduling conflicts, or operational risks to the Project Manager.
Compliance & Risk Management
• Ensure all shipments comply with permitting, pilot/escort, and jurisdictional regulations for specialized and
project freight.
• Identify potential safety or execution risks and work with the Project Manager to implement mitigation
strategies.
Desired Qualifications
Education
• High School Diploma or equivalent required. Business Administration or Supply Chain/Logistics coursework
preferred.
Experience
• 2+ years in a transportation, logistics, or project execution environment.
• Experience in customer-facing roles with a strong service orientation.
• Exposure to specialized or over-dimensional freight coordination is an asset.
Skills
• Advanced knowledge of specialized equipment types, transportation planning, including equipment types,
routing, permitting, and transloading.
• Strong communication skills with ability to build customer confidence and coordinate internal teams.
• Proficient in Microsoft Office (especially Excel and Outlook) and transportation management systems (e.g.,
LME).
• Proven ability to manage multiple tasks, prioritize under pressure, and maintain attention to detail.
• Comfortable with limited decision-making authority in a defined scope, with clear escalation processes.
