Primary Function: Perform administrative duties for divisional and project management teams.
Responsibilities:
Assists with preparing, coordinating, printing, distributing, tracking, filing and archiving project delivery and construction phase administration files and documents throughout the project life cycle.
Manages, and takes ownership of duties, calendars, and overall organization in a strong support capacity.
Consults with Project Managers to complete all required documentation to initiate project start up and closeout.
Prepares, tracks, and electronically files contract documents.
Documents project submittals.
Updates and maintains technical lists and various information databases.
Verifies subcontractor insurance coverages.
Assists with creating and maintaining Job Cost reports.
Edits/proofreads miscellaneous technical letters, correspondence, reports, and other materials.
Assists with formal responses to requests for proposals and requests for qualifications.
Promotes integrity, honesty, hard work, safety, and quality throughout all aspects of the project and is a professional representative of M. B. Kahn.
Performs additional assignments as directed by management or as required for successful project completion.
Required Skills/Abilities:
4+ years’ experience as an administrative assistant, preferably in the construction industry.
Knowledge of AIA software and certificates of insurance are a plus.
Ability to manage multiple priorities and work in a fast-paced environment while maintaining focus and attention to detail.
Excellent customer service and interpersonal communication skills.
Strong Microsoft Office skills including Word, Access, Excel, PowerPoint and Publisher.
Ability to work independently, self-starter.
Ability to keep information organized and confidential.
Associates degree or higher preferred.
