The Project Assistant will provide day-to-day administrative and logistical support to the Team Leader and the broader Technical Assistance Team throughout the project lifecycle, from inception to closure. The role does not require any background in electronic communications or regulatory affairs.
Key Responsibilities
Office and Administrative Management
• Maintain and organize the project filing system and document repository (SharePoint), ensuring proper version control and access tracking for all project materials.
• Handle general correspondence, scheduling, and coordination on behalf of the Team Leader.
Event and Meeting Coordination
• Organize the practical arrangements for project meetings, workshops and Steering Committee sessions, including venue booking, invitations, attendance lists, printed materials and catering where applicable.
• Prepare and circulate meeting agendas and take accurate minutes of meetings, following up on action points as required.
Reporting and Documentation Support
• Assist with the formatting, proofreading and filing of project reports, including the Inception Report, six-month progress reports and the Final Report.
• Compile the final deliverables handover package at project closure.
Human Resources and payments
• Support the processing of expert timesheets, travel claims and administrative paperwork related to payments in line with project procedures.
Communication and Visibility
• Assist in the implementation of the project's Communication and Visibility Plan, including the preparation of materials and coordination of visibility requirements in line with EU rules.
Requirements:
• University degree in administration, management, or a related field
• At least 2–3 years of experience in an administrative or project support role, preferably within an EU-funded project environment
• Strong organisational skills and attention to detail
• Proficiency in MS Office (Word, Excel, Outlook) and familiarity with document-sharing platforms such as SharePoint
• Fluency in Albanian and good working knowledge of English (written and spoken)
• No technical background in telecommunications or electronic communications is required
