Position Overview:
The Project Assistant – Electrical serves as a central coordination hub for service operations, acting as the first point of contact for customers and support for Project Managers and Service Technicians. Responsibilities include managing service requests, support in coordinating technicians and materials, assisting with procurement and permitting, and maintaining customer and job records. The ideal candidate is highly organized, detail-oriented, and comfortable working in a fast-paced environment, with strong communication skills.
Key Responsibilities:
Serve as the primary point of contact for incoming service requests and customer inquiries.
Schedule and dispatch service electricians for repairs, maintenance, and small projects.
Manage Service Dispatch calendar.
Create, track, and close service work orders in company systems.
Manage CRM opportunities to maintain accurate sales projections.
Prepare and process electrical permit applications and inspection scheduling.
Coordinate material orders, deliveries, and equipment needs for service jobs
Request quotes for materials
Issue purchase orders
Order and coordinate delivery of rental equipment
Assist with pricing and preparation of service quotes and small-job estimates.
Serve as primary point of contact for electrical service technicians and manage MTech
Assist the Field technicians with labor entry issues
Dispatch service orders
Review and approve service labor
Pull purchase orders
Assist with navigation in MTech
Review and verify technician timesheets, job notes, and billing data.
Generate service invoices and ensure timely submission for approval or payment.
Maintain accurate customer, project, and equipment records.
Support reporting and documentation requirements for safety, compliance, and performance tracking.
Communicate job status updates to customers, field staff, and management as needed.
Monitor electrical service email inbox; forward and assign emails to appropriate personnel.
Qualifications
2+ years of administrative, dispatch, or customer service experience (preferably in construction, facilities, or electrical services).
Strong organizational and multi-tasking skills in a fast-paced environment
Proficiency with Microsoft Office and familiarity with ERP or service management software.
Working knowledge of scheduling, service management software
Demonstrated problem-solving abilities.
