Reports to: Senior Project Manager
Role Overview We are looking for a detail-oriented Project Administrator to provide critical support to our project delivery teams. You will be responsible for the administrative health of high-stakes projects, ensuring that documentation, financial tracking, and stakeholder communications align with rigorous risk management standards and "Opportunity within Controls" philosophy.
Key Responsibilities

Governance & Compliance: Maintain project registers (Risk, Issues, Decisions, and Actions) and ensure all documentation meets internal audit requirements.

Financial Tracking: Assist in budget monitoring, processing invoices, and reconciling project expenses against forecasts.

Meeting Logistics: Coordinate steering committee meetings, prepare high-quality slide decks, and capture technical minutes that drive accountability.

Reporting: Consolidate data from various workstreams to produce weekly and monthly status reports for senior leadership.

Resource Coordination: Facilitate the onboarding/offboarding of contractors and manage access permissions for project tools (e.g., Jira, Confluence, or PPM tools).
Requirements

Experience: 2-4 years in project administration or coordination, ideally within financial services or a large corporate environment.

Hands-on experience using Atlassian products, specifically Jira for task tracking and Confluence for documentation management.

Technical Savvy: Proficiency in MS Office 365 (especially Excel and PowerPoint) and familiarity with Agile/Waterfall methodologies.

Communication: Exceptional verbal and written skills; you should be comfortable "managing up" to busy Project Directors.

Mindset: A "can-do" attitude with the ability to navigate ambiguity and pivot quickly as project requirements change.
