Job Summary:
We are seeking a Project Administrator to support our Project Managers and Coordinators across multiple active projects. This role is ideal for someone who thrives in a fast-paced environment, enjoys keeping projects organized, and is skilled at managing documentation, follow-ups, and coordination tasks.
Job Responsibilities:
The duties will include, but are not limited to:
Provide administrative and project support to multiple Project Managers and Coordinators in obtaining, tracking, and distributing project documentation including RFIs, shop drawings, SI’s, and trade drawings.
Track action items and follow up with internal teams and external partners as required.
Issue and maintain subcontracts, purchase orders, and project releases based on equipment buyouts.
Create and maintain weekly suite check-off sheets
Perform invoice price-checking and coding for approval.
Assist with the preparation, tracking, and submission of change orders throughout the project lifecycle.
Maintain systems, including job setup and ensuring accurate information for both site and office use.
Assist Project Coordinators/Managers in maintaining Microsoft Project schedules weekly.
Maintain the manpower board and coordinate project-related meetings as required.
Qualifications:
Post-secondary education in an Office/Construction Administration or related field.
Strong organizational and time-management skills with the ability to manage multiple priorities.
Excellent attention to detail and follow-through.
Ability to prioritize tasks and meet deadlines across several ongoing projects.
Strong communication and coordination skills.
Ability to work both independently and as a team.
Experience in construction or project-based environments preferred.
