Job Description:

The purpose of the Project Administrator is to assist fulfillment managers and teams by handling administrative tasks, coordinating schedules, track project progress, maintaining documentation, and ensuring effective communication among stakeholders.

Duties and Responsibilities:

Organize project meetings, prepare agendas, and record detailed minutes.

Report ready units in client systems with accuracy and timeliness. Ensure all entries reflect current project status and milestones.

Assist with document control activities including filing, version tracking, and document updates. Ensure all records are maintained as per company standards.

Update internal and external systems with project progress and ready dates. Maintain data accuracy to support real-time project tracking.

Assist in budget monitoring, invoice processing, and cost tracking activities. Ensure expenses are aligned with approved budgets and properly documented.

Execute project reporting in line with Jord International procedures. Ensure reports are accurate, consistent, and submitted within deadlines.

Assist in preparing documents for internal and external audits. Ensure all files are complete, organized, and readily accessible.

Promptly identify and report any critical risks to the Head of Operations. Support timely mitigation by escalating issues appropriately.

Perform special tasks and responsibilities as assigned by the manager. Adapt to changing project needs and priorities effectively. Support with office administrative task as deemed necessary.

Experience in managing project tasks while adhering to timelines and minimizing risks. Demonstrates ability to stay organized in a dynamic environment.

Quick learner with the ability to adapt to new tools and processes.

Strong interpersonal skills with the ability to build and maintain relationships. Effectively collaborates with internal teams and external stakeholders.

Ability to support communication with field or site teams. Helps in collecting updates and relaying information efficiently.

Ability to manage documents, schedules, and multiple tasks efficiently. Maintains structured records and prioritizes work effectively.

Good verbal and written communication skills for interacting with team members and stakeholders. Capable of drafting emails, reports, and meeting notes clearly.

Ensures accuracy in data entry, reporting, and documentation. Identifies errors and maintains high-quality work standards.

Proficient in MS Office tools including Excel, PowerPoint, and Word, along with MS Project Professional. Capable of handling reporting and scheduling tasks efficiently.

Experience working in a customer-focused and fast-paced professional environment. Demonstrates flexibility and a proactive approach to work.
