About the Role
We are seeking an intermediate Project Administrator to join our Calgary office. This is a fully in- office position supporting a dedicated, fast-paced team to deliver projects on time. You will be involved in project setup, document formatting, proposal preparation, and more. As part of a collaborative team, you’ll have the opportunity to work across multiple departments and contribute to exciting, impactful projects.
Key responsibilities include, but are not limited to:
Prepare and format construction document packages
Assist with project setup/closeout and proposal completion
Proofread, format, and compile documents for various project stages
Assist with project and resource planning
Liaise with Marketing, Finance, Designers, Engineers, and other Project Administrators
Make a great first impression of AES with clients, guests and vendors
Procure office supplies and equipment as required
Assist with the onboarding and offboarding of team members
Assist with special projects and tasks such as organizing internal meetings, client Lunch & Learns, etc.
Other administrative duties as needed
Our Must Haves:
Bachelor’s Degree in Business Administration or equivalent
Experience in proposal coordination and preparing RFP responses
Prior administrative support experience, preferably in the A/E/C industry
Strong document proofreading, formatting, and editing skills
Proficiency with Microsoft Office Suite and PDF editing tools
Ability to adapt to company-specific standards and procedures
Excellent communication and organizational skills
Ability to work well in a team and meet deadlines in a fast-paced environment
