Procurement Specialist (Technology)

We are looking for a Procurement Specialist to join our team. In this role, you will support day-to-day procurement execution and contribute to operational efficiency, cost optimization, audit readiness, and effective stakeholder coordination across teams.

Key Responsibilities:

Procurement Operations

• Source, evaluate, and onboard suppliers based on quality, cost, and delivery requirements.
• Execute RFQ, ITT, ITQ, and Direct Contracting (DC) processes, including bid comparison and price analysis.
• Co-ordinate with buyers to issue Purchase Orders (POs) and track fulfilment to ensure timely delivery.
• Monitor inventory levels and co-ordinate replenishment with relevant teams.
• Maintain accurate procurement records, contracts, and vendor data repositories.

Administrative Support & Contract Management

• Support development and implementation of procurement strategies aligned to business needs.
• Conduct supplier (market) research, evaluation, and initiate tender/RFQ processes.
• Manage procurement correspondence and documentation in a timely and professional manner.
• Collect, organize, and analyse procurement data for reporting, presentations, and operational reviews.
• Ensure data accuracy across procurement tracking systems and records.

Communication & Collaboration

• Negotiate pricing, commercial terms, and service level agreements with vendors in consultation with Legal and stakeholders.
• Draft, review, and manage procurement contracts to mitigate operational, project, and product risks.
• Track purchase orders, delivery timelines, and inventory coordination.
• Facilitate internal meetings, including scheduling, agenda preparation, and follow-up actions.
• Maintain clear communication with internal teams and external vendors to ensure smooth procurement execution.

Compliance & Documentation

• Ensure adherence to internal procurement policies, procedures, and regulatory requirements.
• Monitor procurement budgets, conduct cost analysis, and recommend cost optimization opportunities.
• Maintain audit-ready procurement documentation and support internal/external audit activities.
• Update and maintain procurement SOPs, policies, and process documentation.
• Stay informed of industry best practices and regulatory updates relevant to procurement.

Requirements:
• Proven experience in procurement, administrative, and operational support roles, preferably in a technology environment.
• Strong vendor management, negotiation, and contract management experience.
• Excellent organizational, documentation, and time management skills.
• Strong written and verbal communication skills with attention to detail.
• Ability to work independently and collaboratively with cross-functional teams.
