An established Australian organization in the building materials industry is seeking a detail-oriented Procurement & Logistics Officer to support procurement administration and inbound logistics operations. The role focuses on purchase order management, shipment tracking, and maintaining accurate data within NetSuite ERP to ensure reliable delivery performance. This is an excellent opportunity for a supply chain professional who thrives in structured environments and values precision, coordination, and operational efficiency.
This position supports execution quality across procurement and supply chain functions and does not hold responsibility for procurement strategy or supplier approval decisions.
• Support day-to-day procurement activities across product categories.
• Prepare, maintain, and update purchase orders in NetSuite ERP in line with approved procurement plans.
• Ensure purchase order data (quantities, pricing, delivery dates, and locations) is accurate and complete.
• Coordinate purchase order acknowledgements and confirmations with suppliers.
• Track inbound shipments from supplier dispatch through to branch delivery.
• Maintain accurate ETA, delivery status, and shipment milestones within NetSuite.
• Identify late or at-risk shipments and escalate to the Procurement Manager.
• Assist with expediting actions in collaboration with suppliers and freight partners.
• Communicate delivery updates and changes to Planning, Warehouse Operations, and Sales teams.
• Maintain accurate procurement and logistics documentation in line with due diligence frameworks.
• Support audit preparation requirements including FSC, ILPA, and internal compliance reviews.
• Contribute to continuous improvement in system accuracy and supply chain reporting.
• Other position-level duties as they arise.
Requirements:
• Bachelor’s degree in Supply Chain, Logistics, Business, Commerce, or a related discipline.
• 3+ years’ experience in procurement, logistics coordination, or supply chain administration within a structured environment.
• Demonstrated experience supporting inbound logistics and shipment tracking processes.
• Strong attention to detail with a high level of accuracy in data entry and system maintenance.
• Intermediate to advanced Excel skills, including use of formulas, pivot tables, and basic data analysis (mandatory).
• Experience working with ERP systems (NetSuite highly regarded).
• Exposure to Australian or New Zealand markets and service expectations (highly desirable).
• Understanding of international import supply chains, freight forwarders, and shipment documentation (advantageous).
• Ability to interpret purchase orders, delivery schedules, and logistics milestones with accuracy.
• Strong organisational skills with the ability to manage multiple priorities and meet deadlines.
• Clear and professional written and verbal communication skills suitable for supplier and cross-functional engagement.
• Comfortable operating within defined authority limits and escalating risks appropriately.
• Experience supporting compliance or audit documentation processes (advantageous).
• Proactive mindset with the ability to identify risks, delays, or data discrepancies early.
