OVERVIEW:
We are seeking a highly organised and proactive Operations Assistant to support our private lending team. This role focuses on deal management, broker communication, and pipeline tracking to ensure lending opportunities move quickly and efficiently.
The successful candidate will help manage loan enquiries, follow up with brokers and borrowers, track deal progress, and maintain internal records. This is a fast-paced role where timing is critical — many opportunities move within 2–3 days, and proactive communication is essential.
RESPONSIBILITIES:
• Deal & Pipeline Management
• Maintain and update the deal pipeline spreadsheet (Excel/CRM).
• Record and track:
• Broker name
• Borrower name
• Security property address
• Loan amount
• Deal type (refinance, bridge, construction, caveat, etc.)
• Current deal status
• Reason deals did not proceed.
• Monitor the pipeline daily to ensure no deals are missed or delayed.
• Broker & Client Follow-ups
• Call brokers and clients to follow up on existing loan enquiries.
• Ensure all required documents and information are provided promptly.
• Maintain professional relationships with broker partners.
• Loan Expiry Monitoring
• Track loan maturity dates.
• Contact brokers prior to loan expiry to confirm:
• Repayment plans
• Refinancing arrangements
• Extension requirements.
• Escalate any risks or delays to management.
• Deal Progress Monitoring
• Ensure deals move efficiently through each stage:
• enquiry
• credit review
• valuation
• documentation
• settlement.
• Follow up on outstanding items with brokers, clients, solicitors, and valuers.
• Market & Competitor Monitoring
• Monitor competitors in the private lending market.
• Track competitor:
• loan products
• pricing
• marketing activity.
• Provide brief updates to management.
• Social Media & Marketing Support
• Help maintain company social media presence (LinkedIn and other channels).
• Track competitor:
• posting updates
• highlighting recently settled deals
• sharing industry insights
• promoting company activity
Requirements:
QUALIFICATIONS:
• Essential:
• Strong organisation and attention to detail
• Comfortable speaking with brokers and clients by phone
• Strong Excel or spreadsheet skills
• Ability to manage multiple deals simultaneously
• Proactive and able to follow up without supervision
PREFERRED SKILLS (nice to have):
• Experience in mortgage broking, private lending, or property finance
• Understanding of:
• LVR
• loan security
• refinancing
• Property transactions
• CRM or pipeline management experience
