The Preventative Maintenance Coordinator supports the Company’s shop and field maintenance operations by administering the equipment telematics program, tracking hour meter readings, and coordinating preventative maintenance (PM) scheduling. This position helps improve fleet reliability and equipment utilization by ensuring accurate data, timely PM work orders, and clear communication between the shop, field, and management. This position will work from Beaver's Shop in Canton, OH.
Main Job Tasks & Responsibilities
Administers the Company telematics program for heavy equipment and on-road/off-road fleet assets (installation coordination, device tracking, troubleshooting coordination, and removal/reinstall upon asset transfer or disposal).
Monitors telematics data routinely and produces reports showing equipment hours, utilization, faults, and error codes; escalates priority issues to the Maintenance Manager and/or Fleet Manager.
Maintains accurate hour meter readings by validating telematics hours and coordinating manual hour meter readings when needed.
Aggregates telematics data and related maintenance data by collecting, cleaning, validating, and consolidating information from multiple sources (databases, APIs, spreadsheets) into organized datasets for analysis and reporting.
Updates fleet maintenance software (including HCSS E360, as applicable) with hour data so PM intervals and meter-based schedules remain accurate.
Creates and/or initiates work orders for scheduled and unplanned preventative maintenance; ensures PM services are triggered at the correct hour intervals.
Coordinates PM scheduling with the Maintenance Manager, Shop Foreman, lube technicians, field supervision, and dispatch to minimize downtime and align with jobsite needs.
Tracks upcoming PM services and overdue items; follows up with responsible parties to ensure completion and accurate closeout documentation.
Coordinates availability and delivery of PM parts, filters, fluids, and supplies to the shop or jobsite (working with the parts team and/or shop admin as needed).
Develops excel-based reports and tools using advanced functions such as pivot tables, charts, formulas, and data tables to present complex telematics data in a clear and actionable format.
Prepares undercarriage and tire inspection reports by analyzing inspection and telematics data to summarize current condition, wear trends, and equipment that is due or coming due for service, and presents clear findings to the Equipment Manager.
Maintains telematics agreements, warranties, and related documentation; ensures records are filed/updated per Company process.
Supports continuous improvement of PM processes by identifying trends (repeat faults, high downtime assets, missed intervals) and recommending process updates.
Communicates clearly with shop and field personnel regarding PM status, scheduling changes, and equipment service needs.
Performs other tasks as assigned.
Skills & Requirements
Working knowledge of preventative maintenance practices for heavy construction equipment (hour-based PM intervals, basic service requirements, and documentation expectations).
Experience with telematics platforms and interpreting equipment hour, location, fault, and performance data (specific vendor experience a plus).
Comfortable working in maintenance software (HCSS E360 preferred) and Microsoft Excel/Office for reporting and tracking.
Strong organizational skills; able to manage multiple schedules, priorities, and follow-ups.
Clear written and verbal communication skills; able to coordinate with shop personnel and field operations.
Strong attention to detail and ability to maintain accurate records.
Ability to work independently, take initiative, and use sound judgment when escalating issues.
Commitment to safety and compliance with Company safety policies in shop and field environments.
Education & Experience
High school diploma or equivalent required.
2+ years of experience in a construction equipment maintenance environment, fleet administration, or similar role preferred.
Prior experience with telematics administration, maintenance scheduling, or fleet maintenance software strongly preferred.
Construction industry experience (shop and/or field) is a plus.
