Summary

We are seeking a qualified Pre Suit Secretary to join our team. This role combines traditional legal support with key responsibilities for managing client correspondence, including turn-down letters, and handling the file closing process. The ideal candidate has a strong work ethic, exceptional organizational skills, and thrives in a fast-paced legal environment.

Responsibilities

• Draft, review, and send client correspondence, ensuring accuracy, professionalism, and compliance with legal and firm standards.

• Manage the file closing process, including:

• Verifying all documentation is complete and organized.

• Ensuring all final communications, and document returns are processed.

• Archiving and storing closed files in accordance with firm policy and regulatory requirements.

• Maintain accurate client records and database updates for closed matters.

• Assist attorneys and paralegals with administrative tasks related to case closure and client communication.

• Handle sensitive and confidential information with discretion.

• Implement and improve administrative processes for greater efficiency.

• Perform other related duties as assigned to meet the needs of the business.

Qualifications

• High school diploma or GED required, associate or bachelor’s degree in legal studies, Paralegal Studies, or related field preferred.

• Paralegal certificate is a plus.

• At least 2 years of experience as a legal assistant, litigation assistant, or administrative assistant in a law firm or corporate legal department.

• English and Spanish preferred.

• Experience in personal injury, workers’ compensation, premises liability, or related practice areas preferred.

• Exceptional organizational, writing, and communication skills with attention to detail.

• Ability to multi-task, prioritize, and manage deadlines in a fast-paced environment.

• Proficiency in Microsoft Word, Excel, Outlook; typing speed of at least 35 wpm.

This role is on-site, which gives you the chance to be fully immersed in the work and gain direct experience alongside the team. We’ve found that being in the office helps new team members get up to speed quickly and feel more connected.
