Summary:
The Preconstruction Administrative Assistant provides organized and detail-oriented administrative support to the Estimating and Preconstruction teams. This role focuses on coordination, accurate documentation, and efficient communication to help streamline estimating activities and maintain smooth departmental operations, supporting successful project pursuits and overall team effectiveness.
The Preconstruction Administrative Assistant will report directly to the Manager, Preconstruction Services.
As a heavy civil contractor, Clearway’s workforce requirements can fluctuate with project schedules and anticipated contract awards. We are currently seeking skilled candidates to join our team and encourage qualified applicants to submit their application.
Location: Clearway's Head Office – Maple, ON.
Hours of Operations: 8:00 am to 5:00 pm (EST)
Essential Duties & Responsibilities:
Coordinate department meetings and accurately maintain meeting minutes.
Manage multiple email inboxes and re-directing or escalating as necessary.
Manage estimating projects including but not limited to downloading addendums and updating project date changes.
Managing and organizing any records with digital and physical filing.
Monitor office supply inventory and place orders monthly.
Manage estimating incoming calls and direct to team accordingly.
Accurately take meeting minutes, filing and distributing.
Assist with expense tracking and reconciliation.
Coordinate bond pick ups, and courier services.
Assist with opportunities form by filing out project details as necessary.
Input project details in third party software and distribute to vendors as necessary.
Requirements:
High School Diploma
Strong organizational and time management skills with the ability to handle multiple deadlines
Excellent attention to detail and document control
Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) experience with estimating is an asset
Strong written and verbal communication skills
Ability to collaborate effectively across multiple departments and teams
High level of professionalism, discretion and accuracy in handling project and client information
Must be legally eligible to work in Canada – no work permit sponsorship is available for this position

Salary Range: $50,000 - $60,000 (CAD)
