About the Role

Reformkliniken is seeking a Clinic Manager (Operations Manager) who will take overall responsibility for the clinic’s daily operations and development. The position is primarily based in Malmö, with some presence required in Båstad. You will report to the owners/board and be responsible for building a high-performing culture, managing clinic operations, overseeing staff and finances, and ensuring quality and regulatory compliance. The role is central to the clinic’s continued growth within the premium segment of aesthetic plastic surgery.

You have experience leading teams in service-focused environments, preferably within private healthcare, dentistry, hospitality, or premium retail. You are comfortable with personnel responsibility and enjoy building high-performing teams. You are financially literate, experienced in quality management, and able to connect operational decisions to business results. Most importantly, you are passionate about creating exceptional customer experiences and motivated to take full ownership of the operation.

Key Responsibilities

Culture and Leadership

Build and nurture a patient-centered culture where every team member understands their role in the patient journey. Establish clear expectations and provide regular feedback. Ensure the team delivers an experience aligned with the clinic’s premium positioning.

People and HR

Recruit, develop, and retain talent. Manage sick leave reporting and HR administration. Oversee staffing and ensure the right competencies are in place at the right time. Coordinate schedules with surgeons and other consulting staff.

Clinic Operations and Patient Flow

Optimize scheduling and capacity utilization. Ensure patient coordinators have the right tools and training to convert consultations into booked surgeries. Monitor and improve the patient experience throughout the entire journey, from first contact to post-treatment follow-up.

Conversion and Marketing

Coach and develop staff to increase conversion rates, in close collaboration with external consultants. Work with Adoreal and other partners on marketing activities, campaigns, and content. Track results and ensure initiatives deliver impact.

Inventory and Procurement

Oversee inventory management of implants, consumables, and other products. Manage supplier relationships and ensure cost-effective purchasing without compromising quality.

Quality and Compliance

Ensure operations meet IVO (Health and Social Care Inspectorate) requirements and other regulatory standards. Oversee internal controls, medical record management, and quality follow-up. Handle any complications or deviations according to established procedures.

Finance and Business Development

Responsible for budget and financial performance. Monitor KPIs such as conversion rate, average order value, and patient satisfaction. Identify opportunities for growth and operational efficiency.


Requirements:
Must Have

• Documented experience leading teams in a service-focused business (minimum 3–5 years).
• Experience in a clinic, reception, or booking-intensive environment.
• Experience with personnel responsibility including recruitment, scheduling, and HR administration.
• Budget responsibility and understanding of P&L.
• Fluent Swedish and good English skills.

Highly Meritorious

• Background in private healthcare, dentistry, eye laser clinics, or other aesthetic businesses.
• Experience with quality management and internal controls in accordance with IVO requirements.
• Experience working with conversion optimization and customer journeys.
• Experience with inventory and procurement management.
• Experience collaborating with external consultants and partners.

Personal Qualities

• Relationship-oriented and genuinely interested in people.
• Action-oriented with the ability to balance strategy and day-to-day operations.
• Structured and detail-oriented, especially regarding quality and compliance.
• Clear communicator who creates a sense of trust and stability.
• Curious and open to learning about the aesthetics industry if coming from another field.

Must be fluent in Swedish and English, both written and spoken.
