Position Overview: We are seeking a detail-oriented Planned Maintenance Coordinator to manage and oversee our growing portfolio of planned maintenance service agreements. Reporting to the Director of Service, this role ensures maintenance work is scheduled, completed, and billed accurately while supporting strong customer relationships and efficient coordination with field technicians.

Key Responsibilities:

The Planned Maintenance Coordinator manages all planned maintenance agreements, ensuring service visits are scheduled according to contract timelines and completed as promised to customers. This role tracks and monitors maintenance schedules, verifies that work orders are accurately billed and properly costed, performs material ordering, and reviews the financial performance of maintenance agreements.

Working closely with field technicians, dispatch, and supervisors, the Coordinator helps ensure maintenance work is completed to company standards while supporting a high level of customer service. The position also collaborates with planned maintenance sales staff by reviewing agreements, providing feedback on service schedules and costs, and helping ensure maintenance contracts are executed efficiently and profitably. The Coordinator communicates with customers regarding scheduling and service needs while supporting the Director of Service with reporting and oversight of the planned maintenance program.

The Coordinator could also perform maintenance work in the field to support technicians, maintain service quality, and stay closely connected to customer systems and service needs.

Key Qualifications:

5+ years of HVAC experience or equivalent experience with planned maintenance

Excellent customer service and communication skills

Ability to mentor and support technicians in the field

Proficiency in Microsoft Office; experience with service management software preferred

Strong problem-solving and decision-making abilities
