We are seeking an experienced Personal Injury Case Manager who understands the lifecycle of a PI claim from intake through settlement.
Position Summary
The Case Manager will be the primary point of contact for clients and will manage personal injury files under attorney supervision. This role requires strong organization, excellent communication skills, and hands-on experience with medical records, insurance adjusters, and settlement documentation.
Key Responsibilities
Client Communication
• Serve as main contact for clients after intake
• Provide case updates and explain next steps in the claims process
• Maintain compassionate, professional communication with injured clients
Case Management
• Manage pre-litigation personal injury cases from start to settlement
• Track treatment progress and follow up with clients regarding medical care
• Maintain organized digital files and case notes
Medical Records & Billing
• Request, track, and review medical records and billing statements
• Prepare medical summaries and treatment timelines
• Identify missing records and follow up with providers
Insurance Coordination
• Communicate with insurance adjusters regarding claims status
• Send letters of representation
• Assist in preparing demand packages
Demand Preparation
• Compile demand packages including:
• Medical records and bills
• Lost wage documentation
• Liability support documents
• Draft demand letters (under attorney supervision)
Administrative & Legal Support
• Calendar key deadlines
• Assist with settlement breakdowns
• Coordinate lien reductions when applicable
• Help transition files to litigation team if needed
Required Qualifications
• 3+ years of experience as a Personal Injury Case Manager or PI Legal Assistant
• Strong knowledge of pre-litigation personal injury process
• Experience requesting and organizing medical records and bills
• Familiarity with insurance claims and demand packages
• Excellent written and verbal English communication skills
• Highly organized with strong attention to detail
• Comfortable working independently in a remote environment
Preferred Qualifications
• Experience with U.S.-based personal injury law firms
• Familiarity with case management software (Clio, Filevine, Needles, Smokeball, etc.) • Understanding of medical terminology
• Experience handling liens (Medicare, Medi-Cal, health insurance, etc.)
