Job Title: Personal Assistant to the CEO
Location: Remote (Philippines or Latin America preferred)
Employment Type: Full-Time Contractor
Working Hours: 9:00 AM – 6:00 PM Eastern Time, with some flexibility to overlap with Pacific Time as needed.

Role Overview
Mint Source is hiring a Personal Assistant to the CEO for a DTC nutritional supplements and health & wellness brand. This role centers on supporting the CEO’s daily effectiveness by protecting her time, maintaining clarity across priorities, and staying ahead of what she needs to thrive. You’ll help filter requests, organize commitments, and manage both personal and business responsibilities with care. Success in this role looks like thoughtful preparation, proactive problem-solving, and clear communication that helps the CEO stay focused on what matters most.
What You’ll Do
Filter emails, texts, and other communications to ensure the CEO sees only the most critical items
Respond to communications clearly, kindly, and professionally when needed
Maintain a 360-degree view of the CEO’s business and personal needs on a daily, weekly, and monthly basis
Schedule and organize meetings, ensuring they are necessary, purposeful, and productive
Manage a clear and organized calendar that balances business and personal commitments
Arrange all aspects of travel, including itineraries, accommodations, and transportation
Plan and oversee events that align with business goals and the CEO’s availability
Monitor expenses and budgets related to the CEO’s activities and office needs
Stay informed about key business projects and deadlines and update the CEO as needed
Continuously look for ways to improve the efficiency of the CEO’s schedule
Manage contacts and networking opportunities to align with business priorities
Handle personal appointments to support a balanced lifestyle for the CEO
Prepare and edit documents, presentations, and reports with accuracy and adherence to standards
Maintain office organization by managing supplies, equipment, and daily operational needs
Safeguard sensitive information and maintain strict confidentiality
Reassess tasks and priorities regularly to align with the CEO’s strategic goals
Serve as a liaison between the CEO and other team members or departments
Gather and relay relevant feedback, updates, and reports to support decision-making
Anticipate and resolve potential issues before they reach the CEO to ensure smooth operations
What We’re Looking For
Proven experience as a personal assistant or executive assistant in a fast-paced environment
Strong organizational skills with the ability to prioritize tasks and manage time effectively
Excellent written and verbal communication skills with a professional, clear, and personable tone
Proficiency with Microsoft Office Suite and other commonly used productivity software
High attention to detail, accuracy, and discretion when handling confidential information
Ability to work independently and collaboratively within a dynamic team environment
Flexibility, adaptability, and willingness to take on new challenges as they arise
Key Performance Metrics (KPIs)
Timely and accurate handling of communication, scheduling, and administrative tasks
Calendar efficiency demonstrated through clear organization, reduced conflicts, and strong context management
Consistent use of clear, kind, and professional communication across all interactions
Accuracy and completeness of travel arrangements, documentation, and planning
Smooth coordination of projects, deadlines, and priorities that support CEO effectiveness

$1,200–$1,800 USD per month, depending on experience, with some flexibility for exceptional candidates
