As our organization continues to grow, we are seeking a highly capable Personal Assistant to support the CEO and leadership team while helping coordinate day-to-day office operations. This is a high-trust, high-autonomy role for someone who is organized, proactive, and able to manage both administrative responsibilities and executive-level support.
We want driven individuals who take pride in performing at a high level, solving problems independently, and consistently elevating the standards of those around them.
Requirements:
Executive & Personal Support
• Own and manage the CEO’s calendar, scheduling, and priorities, ensuring time is used effectively.
• Coordinate travel, meetings, and logistics across multiple time zones when required.
• Handle both professional and personal logistics that would otherwise distract leadership from strategic priorities.
• Anticipate problems before they arise and resolve them decisively, often without direct instruction.
• Act on behalf of the CEO when appropriate, using judgment rather than rigid process.
• Prepare concise reports, research summaries, and briefing materials to support decision-making.
• Serve as a direct point of contact for internal and external stakeholders.
• Fluency in English and Spanish is required.
Office & Operational Administration
• Manage day-to-day office operations to maintain an organized and efficient workspace.
• Answer phone calls, respond to inquiries, and manage professional correspondence.
• Maintain files, records, and internal systems, ensuring information is accurate and up-to-date.
• Support various departments with administrative tasks and coordination.
• Assist with scheduling meetings, events, and operational logistics across the organization.
• Ensure office supplies, equipment, and materials are maintained and organized.
• Manage information, documents, and systems in a way that supports speed, clarity, and execution.
Ideal Candidate
• Prior experience as a Personal Assistant, Executive Assistant, Chief of Staff, Office Administrator, or in a similarly high-autonomy role.
• Proven ability to manage complex logistics and competing priorities.
• Strong written and verbal communication skills with a clear, direct, and professional style.
• Excellent organizational skills and attention to detail.
• Proficiency with modern productivity tools such as Microsoft Office, Google Workspace, or equivalent systems.
• Strong problem-solving instincts and a bias toward action.
• Ability to prioritize effectively in a fast-paced, constantly changing environment.
• Logical, structured thinking with a preference for solving concrete problems.
• Capacity to work independently for long periods without supervision.
• Discretion and sound judgment when handling sensitive information.
