Part-Time Personal Assistant for CEO within in the Construction Industry
We are looking for a highly organised, proactive and trustworthy Personal Assistant to play a key role in supporting our Chief Executive Officer within a busy construction administration environment.
This is an exciting opportunity for someone who thrives on variety, values professionalism and enjoys being at the heart of a busy operation. The successful candidate will integrate closely with the CEO, helping to streamline both professional and personal commitments to maximise efficiency and focus.
As a trusted point of contact, you’ll keep things running smoothly, managing priorities, coordinating information, triaging communications and supporting day-to-day activities that contribute to both business and personal effectiveness.
This role demands an exception level of discretion, confidentiality and reliability. Occasional attendance at events outside of standard working hours will be required, however, these events are enjoyable and will form a valuable and rewarding part of the role.

What we need
Administration related qualification, such as Level 3 in Business Administration
GCSE or equivalent Grade C/4 or above in English Language, Literacy and Numeracy
Proven experience as a Personal Assistant or in a similar administrative role
Experience supporting a CEO or Senior Director and within the construction industry would be beneficial
Exceptional organisational and time-management skills
Excellent written and verbal communication skills
High level of discretion and professionalism when handling confidential information
Ability to work independently and adapt to changing priorities
Confident with a range of IT systems and software
Self-motivated, proactive and a positive attitude
Strong team player with the ability to integrate effectively at all levels
Willingness to undertake training and personal development
Commitment to maintaining professional standards and continuous improvement
Full UK driving licence (minimum 6 months’ experience post-test) would be advantageous.

Job Description
Reporting to the Chief Executive Officer, the Personal Assistant will act as a trusted gatekeeper and point of coordination, ensuring the smooth running of both business and personal administrative activities. The role requires excellent communication skills, strong attention to detail and the ability to handle sensitive information with absolute confidentiality.
Responsibilities
Provide high level proactive support to the Chief Executive Officer, ensuring effective use of time and prioritisation of commitments.
Manage and coordinate the CEO’s diary, appointments and meetings, including the preparation of agendas and supporting documents.
Triage, monitor and manage incoming communications (emails, calls and correspondence), drafting response where appropriate and highlighting urgent matters.
Act as a key liaison between the CEO and internal/external stakeholders.
Coordinate meetings, take accurate minutes and track follow up actions.
Assist with the preparation of reports, presentations and briefing documents.
Support planning and organisation of events, meetings and travel arrangements.
Draft, format and produce documentation to a high professional standard.
Maintain confidential records and files with accuracy and discretion.
Collate, research and summarise information as required.
Support specific business and personal projects.
Maintain and improve administration systems and processes.
Ensure exceptional levels of customer and client care at all times.
Provide structured daily briefings to the CEO.
Support aspects of the CEO’s personal life including running errands and coordinating personal commitments.
Provide general administrative support as required.
Terms

The position is initially offered on a part-time flexible position of 20 hours per week, typically worked across five days, preferably mornings. Flexibility with working hours and the availability to increase standard working hours if necessary are essential. This role may involve travel and occasional evening commitments in line with business needs.
