The team you will be part of
Reporting to the Senior People Operations Specialist, you will serve as a key support for the HR function in Vietnam. In this role, you will primarily be responsible for managing daily HR operational tasks and ensuring compliance with internal policies and local labor regulations. Your responsibilities will include supporting core HR processes such as employee life cycle, office-related administration and other ad-hoc tasks as assigned to ensure smooth and efficient people operations.
As a People Operations Admin Executive, you will take charge of
1. People Operations & HR Administration
Manage day-to-day HR operational activities including onboarding, offboarding, movements, employee documentation, and HR records management ((e.g. new hires, promotions, transfers, re-designation, resignations/terminations etc);
Maintain and update employee data in HRIS and ensure accuracy of personnel records;
Support employee lifecycle processes such as contract preparation, probation confirmation, employee transfers, and status changes;
Assist in maintaining HR policies and internal documentation;
Assist in maintaining the Admin process throughout the country and under our Group.
2. Compliance & Employee Support
Maintain proper filing and documentation for HR compliance and internal audit purposes;
Support internal communications related to HR policies, processes, and updates;
Act as the first point of contact for employee HR-related inquiries;
Process employee requests for information and related employment visas, permits, and regulatory applications.
3. Office Administration
Support daily office administration to ensure a well-functioning and organized workplace environment;
Coordinate office supplies procurement and manage relationships with office vendors and service providers;
Assist in managing office facilities, transportation, meeting rooms, and workplace logistics;
Support the organization of internal events, team activities, and company gatherings.
4. Other ad-hoc tasks as assigned.
What we are looking for - the ideal profile
Bachelor’s degree in Human Resources, Business Administration, or a related field.
1–2 years of experience in HR operations, HR administration, office administration, or People Operations.
Basic understanding of Vietnam labor law and HR compliance.
Detailed-oriented with strong people, organizational, and administrative skill
Good communication and interpersonal skills.
Ability to manage multiple tasks and work in a fast-paced environment.
Proficiency in Microsoft Office (Excel, Word, PowerPoint) and G-suite.
English communication skills are preferred.
Able to start work immediately or with short notice is an advantage.
