Fairmont Hanoi opened in March 2026, marking the debut of the Fairmont brand in Vietnam. The 241-room luxury hotel blends traditional lacquer artistry, Vietnamese heritage, and Indochinese elegance, creating a refined urban resort experience.
The hotel features eight dining and bar venues, a rooftop terrace, indoor and outdoor pools, a modern fitness centre, and a dedicated wellness floor with spa and bathhouse. With three ballrooms - including a 1,100 sqm grand ballroom, and nine meeting rooms, it is set to become Hanoi’s premier destination for events and social gatherings.
 
The People & Culture Coordinator is responsible for coordinating and supporting day-to-day People & Culture operations by providing efficient administrative and operational support. The role has a strong focus on casual workforce recruitment and payroll support, colleague documentation, HR systems, and colleague services, ensuring smooth operations, a positive colleague experience, and compliance with company policies and applicable laws.
Casual Workforce Management
• Perform end-to-end recruitment for casual labor: sourcing, screening, interview coordination, and onboarding.
• Coordinate with outsourcing vendors to ensure casual manpower requests are fulfilled in a timely manner.
• Maintain and regularly update the casual labor database; manage communication channels (e.g. Zalo, Facebook groups).
• Work with relevant departments to verify attendance and working hours of casual colleagues.
• Support the P&C Executive in the preparation and processing of casual payroll.
Recruitment Support
• Support employer branding initiatives, including job advertisements, designs, and social media postings.
• Coordinate interview arrangements with departments and follow up with candidates accordingly.
• Assist in maintaining candidate records and tracking recruitment progress.
• Coordinate with outsourcing partners and authorities to support Work Permit and Visa processes for expatriates in compliance with applicable regulations.
• Prepare and submit visa, work permit, and residence card application documents as required.
General Administration & Support
• Coordinate colleague facilities and administrative arrangements, including locker assignment, key card issuance, parking registration, etc.
• Maintain accurate records with building management and relevant stakeholders.
• Ensure proper tracking, control, and recovery of company assets upon colleague resignation.
• Maintain organized filing, tracking, and control of incoming and outgoing P&C documents.
• Coordinate and follow up to obtain required approvals and signatures in a timely manner.
• Assist in organizing colleague engagement activities, recognition programs, and staff communications.
• Assist in developing and distributing internal communication materials (newsletters, updates, announcements).
• Handle daily P&C administrative tasks accurately and efficiently.
• Respond to colleague inquiries related to People & Culture processes and services.
• Ensure People & Culture office supplies and materials are adequately maintained.
• Handle confidential information with discretion and professionalism.
• Perform other duties as assigned by Management.
Other
• Process day-to-day People & Culture administration in an accurate and timely manner
• Maintain a high standard of personal appearance and hygiene at all times
• Be aware of the hotel fire & life safety/ emergency procedures
• Perform other reasonable duties as assigned by Management.
• Handle sensitive and confidential information with discretion and integrity.
 
Knowledge and Experience
• Bachelor’s Degree in Human Resources Management/ Hotel Management
• Minimum 1 year of Human Resources experience
• Good written and verbal English communication skills
• Knowledge of Work Permit and Visa procedures for expatriates is an advantage
• Proficient in MS Excel, Word, and PowerPoint; experience with Canva and/or Figma is an advantage
