Job description: We are seeking a highly experienced and detail oriented Payroll Tax Analyst. This role focuses exclusively on the setup, activation, tracking, and validation of state and local employer tax accounts, including State Unemployment Tax (SUT) and State Income Tax (SIT) registrations. The ideal candidate brings hands on experience with multi state employer tax registration, exceptional organizational skills, and the ability to work with strict confidentiality. This position supports Finance and Payroll by creating fully compliant, accurate tax accounts across multiple jurisdictions.
Responsabilities:
1. Tax Information Collection & Documentation • Collect and verify all organizational and payroll details required for new SUT/SIT registrations. • Identify missing information and coordinate with internal stakeholders to resolve gaps. • Maintain organized and secure documentation for each jurisdiction. 2. State & Local Tax Registration Setup (SUT / SIT) • Complete employer applications for state unemployment (SUT) and state income tax withholding (SIT) accounts. • Track registrations from submission through approval, including account IDs, rates, agency correspondence, and activation requirements. • Ensure accurate setup of all newly established accounts. 3. Monitoring & Final Review • Perform final validation of account activation, accuracy, and completeness before handing over to Finance/Payroll. • Ensure all documentation is audit ready and stored according to confidentiality standards. 4. Cross Department Collaboration • Work closely with Finance, Payroll, HR, and Operations to support new jurisdiction setup and payroll readiness. • Provide clear updates on registration status, requirements, and timelines. 5. Confidentiality & Compliance • Maintain strict confidentiality of all financial and organizational information. • Ensure compliance with all relevant state and local requirements during the registration process.
Skills: • Bachelor’s degree in Accounting, Finance, or a related discipline; OR equivalent experience is required. • 3–5 years of payroll tax experience for a multi state employer, including: o At least one year of accounting experience preparing journal entries and performing account reconciliations. • Strong knowledge of U.S. payroll tax laws and reporting requirements. • Previous payroll processing experience is required. • Hands on experience registering and maintaining SUT and SIT employer tax accounts. • Experience working with multiple states; Washington, New York, Delaware, and Ohio preferred. • Highly organized and able to track numerous concurrent registrations. • Strong written and verbal communication skills. • Demonstrated ability to preserve confidentiality. • Experience working with Finance and Payroll teams.
Working hours: Part-time 8:00am - 1:00pm PST Contract duration: 6 months with the option for an indefinite (permanent) contract
