POSITION PURPOSE:
The Payroll Specialist position has the responsibility of fulfilling state and federal guidelines concerning employee record keeping, wage and hour regulations and compliance with sensitive correspondence. Must have a working knowledge of payroll that allows for the correct processing of this function and confidently handle and process sensitive employee information without prejudice.
ESSENTIAL FUNCTIONS:
Perform daily payroll department operations.
Manage workflow to ensure all payroll transactions are processed accurately and timely.
Execute ESW time and attendance processing and interface with payroll.
Accurately process payroll, making sure deadlines are met to ensure timely payment.
Determine payroll liabilities and ensure timely payments of all federal, state, and local taxes, workers compensation, FSA, HSA, and retirement plan contributions.
Ensure payroll processing is in compliance with federal and state laws as well as company policies related to wages, hours, overtime, and employment issues.
Process correct garnishment calculations and maintain compliance.
Process accurate and timely year-end reporting (W-2, W-2c, 1095 IRS Form 940).
Process accurate and timely quarterly reporting (IRS Form 941, State Forms OQ, Schedule B, and Form 132).
Process termination payrolls.
Maintain employee payroll records and timesheet data for future reference.
Assist in payroll-related company audit activities.
QUALIFICATIONS:
High School Diploma/GED; Certified Payroll Professional (CPP) preferred.
Minimum two (2) years’ experience processing payroll.
Working knowledge of payroll best practices and strong knowledge of federal and state regulations.
Strong computer skills including proficiency in Excel.
Working knowledge of ESW and Abila preferred.
Highly organized and detail oriented.
Strong work ethic and team player.
High degree of professionalism.
Ability to deal sensitively with confidential material.
Strong interpersonal (verbal and written) communication skills and ability to communicate with various levels of management.
WORKING CONDITIONS:
Must be able to perform the following physical requirements:
Remain in a stationary position frequently throughout the day while performing administrative work.
Move or traverse occasionally during the day throughout the office.
Operate equipment frequently throughout the day: computer, general office equipment, phone.
Ability to communicate information and ideas clearly and accurately so others will understand; ability to interact with patients and staff clearly.
Able to move or transport up to 5 pounds while handling stacks of documents.
Work indoors in heat-controlled environment 100% of the day.
OSHA Exposure Category – Category #2: The normal work routine involves no exposure to blood, body fluids, or tissues.
In person work with possible periodic remote work.
Normal office hours with potentially some work outside of normal hours.
