Position: Payroll Specialist & Onboarding Coordinator
Responsibilities:
Payroll Administration:
Prepares and processes payroll for all employees in multiple states on a bi-weekly/weekly schedule.
Reviews and verifies timekeeping records; ensures compliance with company policies and wage/hour laws.
Processes wage garnishments, deductions, and adjustments as required.
Maintains payroll records and generates reports as requested by HR Supervisor or leadership.
Partners with Finance and HR to reconcile payroll data and resolve discrepancies.
Onboarding Coordination & Training Tracking:
Coordinates pre-hire and first-day onboarding activities for new employees.
Develops, monitors, and tracks the 30-60-90 day onboarding process for each role.
Ensures managers deliver role-specific training, employees complete required onboarding activities, and all progress is documented.
Follows up with managers and employees at each milestone to confirm progress and address gaps in training or documentation.
Prepares and distributes onboarding status reports to HR Supervisor and leadership.
Conducts or supports new hire orientation, including benefits enrollment and policy review.
Safety compliance and workers comp cases.
Compliance & Recordkeeping
Ensures payroll and onboarding processes comply with federal, state, and local employment laws.
Maintains employee personnel and payroll files with strict confidentiality.
Supports HR Supervisor in audits and reporting related to payroll, benefits, and onboarding.
Ensure organizational compliance with all federal and state related to workplace safety and workers' compensation.
Collaborate with HR, management, and safety team to implement injury prevention strategies and return to work programs.
Collaboration & Support
Provides payroll-related information and assistance to employees.
Partners with the HR Generalist on leave management and employee record updates.
Collaborates with the Recruiter to align start dates and onboarding schedules with payroll cycles.
Performs other HR-related duties as assigned.
Required Skills/Abilities:
Strong knowledge of payroll practices and employment tax regulations.
Experience with payroll software and HRIS systems (e.g., ADP, Paylocity, or similar).
Excellent attention to detail and accuracy.
Strong organizational and time-management skills.
Ability to maintain confidentiality and handle sensitive information.
