We are seeking a Patient Scheduling Coordinator to support a U.S.-based home care provider by matching caregivers to clients based on their needs. This role is fast-paced and requires someone who can juggle multiple systems, communicate clearly, and take ownership of getting schedules filled efficiently.
This role forms part of a collaborative and team-driven environment where individuals are expected to step in, assist, and ensure that all scheduling needs are met.
PLEASE NOTE
• Working Hours: Monday – Friday | 8:30 AM – 5:00 PM EST (14:30 PM – 23:00 PM South African time – subject to daylight savings).
• Public Holidays: This role requires working on both South African and U.S. public holidays (compensation for SA public holidays in accordance with the BCEA).
• Internet Requirements: A fixed fibre line with a minimum speed of 25 Mbps (upload & download) and wired Ethernet capability is mandatory. Applicants without a fixed fibre line cannot be considered.
• Power Backup: Reliable backup required to manage load shedding or outages. Applicants without a power backup cannot be considered.
• Work Environment: Fully remote
Key Responsibilities:
• Schedule caregivers for clients based on specific needs and requirements
• Engage with clients to understand their care needs and preferences
• Coordinate across multiple communication channels (calls, WhatsApp, internal systems)
• Manage and update scheduling systems accurately and in real-time
• Handle scheduling challenges and last-minute changes with urgency
• Collaborate with team members to ensure all shifts are filled
• Escalate issues or request support when needed
Requirements:
• Strong customer service experience
• Ability to multitask across multiple systems simultaneously
• Excellent verbal and written communication skills (English)
• Comfortable working in a fast-paced, high-pressure environment
• Strong sense of accountability and willingness to step in where needed
• Highly organized with strong attention to detail
Advantageous (not required):
• Experience working in a medical practice, doctor’s office, or healthcare environment
• Background in appointment scheduling, theatre bookings, or practice coordination
• Previous management or supervisory experience
