Pay rate: $18 - $20 per hour

About the Role

As a Patient Concierge, you are the first and most lasting impression of NIVA Health. You set the tone for the entire patient experience.

You’ll serve as the quarterback of the office, guiding patients through their visit, anticipating needs, and ensuring each step of their journey feels seamless, professional, and welcoming. From greeting patients and managing appointments to supporting patient flow and coordinating behind the scenes, you play a critical role in delivering a world-class experience.

What You’ll Be Doing

Daily Operations & Patient Experience

• Greet every patient warmly and professionally upon arrival
• Offer refreshments and ensure patients feel comfortable and informed
• Answer questions, manage intake paperwork, and update patient records accurately
• Schedule, confirm, and manage appointments
• Handle incoming and outgoing patient calls throughout the day

Clinic Flow & Administration

• Support efficient patient flow and provider schedules
• Maintain and update the EMR system (check-ins, scanning, payments, chart prep)
• Keep the reception area clean, organized, and fully stocked
• Assist with lead management, outbound calls, and appointment generation
• Participate in daily morning huddles and contribute to workflow planning

Opening & Closing Responsibilities

• Prepare schedules and charts for providers
• Complete daily checklists and ensure all tasks are executed
• Tag leads accurately and prepare for the following day
• Perform end-of-day office walkthroughs to ensure everything is properly shut down

Requirements:
Qualifications

• High School Diploma required
• Previous medical office or receptionist experience preferred
• Strong interpersonal, time management, and organizational skills
• Comfortable using computers and systems (Microsoft Office experience required; EMR experience a plus)
