Key responsibilities
Send intake forms same day an appointment is scheduled
Follow up on outstanding intake forms
Upload completed intake forms and referral documents to correct platforms
Confirm all documents are complete 48 hours before every appointment
Verify PA approval status in patient record at pre-appointment check — med mgmt only
Notify clinical team when patient file is complete and ready
Schedule follow-up appointments post-initial visit — priority for med mgmt recurring
Manage rolling intake queue across all active patients simultaneously
Required qualifications
1+ year experience in healthcare administrative or patient services role
Strong organizational skills — managing large rolling task queues
Excellent written and verbal patient communication
Proficiency with electronic health record platforms and document management
HIPAA knowledge and compliance awareness
Preferred qualifications
Experience in behavioral health or mental health practice setting
Familiarity with intake processes across multiple service types
Experience with prior authorization tracking and follow-up workflows
Certified Healthcare Administrative Professional (cHAP) or equivalent
