Job Description
The On-Campus Admissions Support (Part-Time) role at Charleston Collegiate School provides essential administrative and on-campus support to ensure a smooth, organized, and welcoming admissions experience. This position plays a key role in maintaining admissions materials, supporting events, and serving as a positive, professional representative of CCS to prospective families. This role plays an important part in shaping applicant and family visit experiences, working closely with faculty to coordinate shadow days, gather feedback, and ensure that each prospective student has an authentic and meaningful connection to the CCS community.
We are seeking a warm, organized, and professional individual who can build meaningful relationships, communicate the CCS mission effectively, and support the operational needs of the admissions office for an overall polished, hospitable admissions experience on campus.
Estimated Schedule: 20 hours/week (workdays coordinated with admissions needs, including tours and events)
Estimated Timeline: July/August 2026 – June/July 2027 (with possible training days in May/June/July 2026)
Key Responsibilities
Welcome prospective families, students, and guests, ensuring a warm, professional, and organized first impression of CCS.
Support the preparation, assembly, and organization of admission materials and packets.
Maintain accurate and up-to-date candidate files, records, and internal documentation systems.
Assist in organizing and managing admissions supplies and coordinating needs with the Marketing & Communications team.
Provide on-campus support for tours, shadow visits, and admissions events, including setup, hospitality, and breakdown.
Collaborate with faculty, staff, and student ambassadors to ensure smooth and well-coordinated campus visit experiences.
Assist in documenting tour and visit notes and maintaining internal tracking systems.
Help assess prospective family engagement and overall fit through observations and interactions, sharing insights with the admissions team.
Respond to general inquiries as needed and support follow-up communication in coordination with the admissions team.
Collaborate with faculty to coordinate shadow visits and translate classroom experiences and feedback into insights that inform admissions and storytelling.
Represent CCS at on-campus and community events as a welcoming, informed, and enthusiastic ambassador of the school, including occasional evenings and weekends.
Qualification Requirements
2–3+ years of professional experience in an administrative, admissions, school, or client-facing role preferred.
Strong organizational skills with exceptional attention to detail, particularly in file management, materials preparation, and record-keeping.
Warm, polished, and professional presence with the ability to create a positive and welcoming environment for families.
Excellent interpersonal, communication, and presentation skills.
Ability to represent the school’s mission, values, and culture with authenticity and enthusiasm.
Ability to observe and thoughtfully assess prospective family engagement and alignment with CCS.
Comfortable using CRM platforms, databases, spreadsheets, and general office systems.
Strong written communication skills with timely and professional follow-through.
Ability to manage multiple priorities and support a variety of tasks in a dynamic, fast-paced environment.
Professionalism, discretion, initiative, and sound judgment in handling responsibilities and sensitive information.
