An Australian-based legal firm is seeking a detail-oriented Paralegal to manage motor vehicle and insurance claims. This role involves opening and progressing matters, liaising with clients and insurers, preparing legal documents, and providing general legal administrative support. The ideal candidate has prior paralegal experience, strong organisational skills, and is confident in managing multiple tasks while maintaining accuracy and professionalism.
• Open and set up new legal matters in the practice management system (Leap), ensuring all client and matter details are accurately recorded.
• Manage the end-to-end onboarding of new matters, including attaching signed retainers, creating matter records, and initiating required correspondence.
• Prepare and issue templated legal documents, such as letters of demand and initial insurer correspondence.
• Handle incoming emails and ongoing communication with clients, insurers, and internal stakeholders.
• Liaise with insurers regarding motor vehicle accident claims, including outbound calls, form completion, and follow-up communications.
• Process insurer documentation, ensuring all required forms are completed, filed, and submitted correctly.
• Undertake outbound phone-based work, contacting insurers, clients, and other parties as needed.
• Support dictation workflows, transcribing notes and correspondence, and progressing matters based on instructions.
• Record and manage diary notes, follow-ups, and reminders to ensure matters progress in a timely manner.
• Prepare and issue accounting-related correspondence, including payment-related letters and follow-ups.
• Maintain accurate matter notes, file records, and communication logs in line with firm procedures.
• Collaborate closely with Legal Administrative Assistants and solicitors to ensure matters progress efficiently.
• Follow established templates, workflows, and processes to ensure quality, consistency, and compliance.
• Provide general paralegal and legal administration support as required across the practice.
• Perform other role-specific duties as they arise.
Requirements:
• Bachelor’s degree in Law, Legal Studies, or a related discipline is preferred.
• Minimum 3 years of previous experience in a paralegal or legal administrative role, ideally within motor vehicle claims, personal injury, or insurance matters.
• Strong working knowledge of legal practice management systems, with Leap experience highly regarded.
• Proven ability to follow structured legal processes, templates, and workflows with accuracy and consistency.
• Excellent written and verbal communication skills, including confidence in phone-based and outbound communications.
• High attention to detail and strong organisational skills, with the ability to manage multiple matters simultaneously.
• Ability to accurately transcribe dictation and progress matters based on instructions.
• Strong time management skills, with the ability to prioritise tasks and meet deadlines consistently.
• Professional, client-focused approach when dealing with clients, insurers, and third parties.
• Sound understanding of confidentiality, compliance, and professional standards within a legal environment.
• Proactive, reliable, and team-oriented, with a willingness to support solicitors and administrative staff as required.
