Job Description
The Operations Optimization Coordinator works closely with operations and cross-functional teams to enhance our ambassador and consumer experience, exceed client expectations, and support profitability. The role manages scheduling and financial aspects for a cohort of traveling team members, administers the Power BI portal and dashboards, and ensures efficient coordination between Operations, Field, and Finance. Responsibilities include supporting corporate initiatives, managing workflows, and maintaining strong communication across teams. The ideal candidate is highly organized, detail-oriented, tech-savvy, and proactive in driving process improvements.
Essential Job Functions:
• Schedule managers and assign ambassadors to client accounts via the portal
• Manage financial charges for assignments and coordinate with Finance
• Administer Power BI portal and dashboards
• Oversee and prioritize all Optimization support requests
• Send follow-up communications and ensure timely completion of requests
• Assess portal functionality and recommend improvements
• Maintain personnel documentation and ensure compliance
• Identify and implement workflow efficiencies
• Communicates with ambassador network and support onboarding
• Lead and participate in team meetings
• Audit monthly expense reports according to policy
• Support training, performance improvement, and professional development initiatives
• Develop and update training resources and operational programs
• Troubleshoot travel challenges for ambassadors and ensure budget adherence
• Effectively partner and motivate across multiple layers of the organization
• Analyze results, align success measures, and communicate outcomes
• Perform other duties as assigned
Requirements:
• Associate or bachelor’s degree in Business Administration, Office Administration, Administrative Assistance, Information Systems, or related field
• 2–5 years of experience in operations, coordination, or process management
• Experience with dashboards or reporting tools (Power BI preferred)
• Strong Microsoft Office skills
• Experience managing workflows or support processes
• English Advanced and excellent communication skills
