Key Responsibilities 📋

A. Finance Tasks

💰 Accounts Payable & Receivable

• Process and track invoices, bills, and vendor payments.

• Issue invoices to clients and follow up on outstanding balances.

• Maintain accurate AP/AR records and aging reports.

🧾 Expense Management

• Review, categorize, and approve employee expenses.

• Enforce expense policies and flag discrepancies or policy violations.

• Prepare monthly expense summaries for leadership.

🏦 Payroll & Compliance Support

• Assist with payroll preparation and verification.

• Maintain financial documentation for audits and compliance.

• Coordinate with external accountants, payroll providers, or tax professionals as needed.

B. Recruiting Support (As Needed)

📌 Candidate Coordination

• Schedule interviews and coordinate availability between candidates and internal team members.

• Communicate interview logistics and follow-ups.

📋 Application & ATS Support

• Screen resumes against predefined criteria.

• Maintain candidate records and stages in the applicant tracking system (ATS).

💬 Candidate Communication

• Respond to candidate inquiries and provide status updates.

• Send rejection or next-step communications using approved templates.

🧠 Process Support

• Assist with posting job descriptions to job boards.

• Help document or update recruiting processes when requested.

• Candidate sourcing

C. General Virtual Assistant Tasks

📧 Email Management

• Organize and respond to emails, flagging high-priority items.

📆 Calendar Coordination

• Schedule meetings and appointments, ensuring no conflicts.

📝 Document Preparation

• Draft, edit, and format documents or presentations.

🔍 Research

• Conduct ad hoc research tasks and compile data for decision-making.

🛠️ General Administrative Support

• Assist with miscellaneous tasks as needed to support the team.

Work Schedule 📈

• ⏰ Hours

• 6:00 AM - 2:00 PM Philippine Time, Tuesday to Saturday.

• 🌙 Occasional Night Calls

• Some tasks may require 15 minute calls during US working hours.

Compensation and Benefits

• 💰 Compensation

• $700/month

• 📝 Independent Contractor

• You are registered with the BIR as an independent contractor and you will be responsible for filing and paying your own taxes.

• 🍽️ Monthly dinners

• Alabang/BGC area.

• 📚 Unlimited audiobooks

• 🛑 Other benefits below are not included

• As an independent contractor, you are not eligible for benefits.

Requirements 🔍

• 📚 You hold a bachelor’s degree in a related field, such as Business Administration, Information Technology, Management Information Systems, Accounting, Finance, or a similar discipline.

• Be located in Metro Manila or surrounding locations (Laguna, Rizal, Cavite, and Bulacan)

• 📊 Proven experience in operations or recruiting.

• 🛠️ Proficiency in tools such as Salesforce, Google Sheets, and LinkedIn Recruiter.

• 🎯 Exceptional organizational skills with a strong attention to detail.

• 💻 Equipment

• Must provide your own computer/laptop and other necessary equipment.

• 🌐 Internet

• Must have a reliable internet connection suitable for remote work and virtual meetings.

Interview Process ✍️

• Screening Call (30 minutes): 📞 A remote call with Jarrel, a Recruiting Lead at Rundoo.

• Interview (30 minutes): 💻 A remote interview with Amanda, Head of Recruiting, & Operations.

• Homework Assignment (2-hour prep): 📝 Instructions for the task will be sent after the introductory call.

• On-Site Interview (1 hour): 🏢 An in-person interview with Amanda focusing on your ability to learn quickly.

• Culture Fit Discussion (15 minutes): 🌟 A remote conversation with Sydney, an Operations Lead, about your background, aspirations, and alignment with company values.

• Reference Check: ✅ Provide two substantial references for evaluation.

• Angie (Operations) - Studied Financial Management at Far Eastern University and have spent almost a decade working with both local and multinational companies. Loves travelling to new places and trying new things.

• Sydney (Operations) - Engineering grad from La Salle who tinkered with building hydraulics, solves diff Rubik’s for fun, and devours dystopian novels.
