With offices across multiple time zones, the firm provides corporate global visa services in over 100 countries. WR is one of the fastest growing immigration service providers worldwide with over 50 attorneys and 150 immigration professionals working out of offices in Boston, Denver, Los Angeles, New York, Oakland, San Diego, San Francisco, Santa Monica, and Shanghai.
We are seeking a highly organized Operations Business Analyst to support the firm’s Operations and Global teams. The role sits at the intersection of operations, billing, and executive support, and reports directly to the Director of Operations. This role serves as an operational bridge between attorneys/case managers, global vendors, the accounting function, and firm clients. While accounting-related, this is not a traditional accounting role and does not involve issuing invoices or preparing financial statements although it does involve running reports on IT platforms and analyzing billing data. This is an excellent opportunity for someone who enjoys both data-driven operational work and high-level coordination/executive support responsibilities. Training and mentorship will be provided for the right candidate.
Responsibilities:
Support operational projects aimed at improving processes, efficiency and workflow across teams, including accounting, legal and tech functions.
Assist in developing and maintaining standardized processes and documentation
Help coordinate cross-functional initiatives involving legal teams, global vendors, and operations
Assist with project management reporting and stakeholder communications. Track project progress and follow up on deliverables
Provide administrative and coordination support to the Operations leadership
team
Support scheduling, prioritization, and execution of key operational initiatives
Prepare both client and internal-facing reports, presentations, and business reviews
Help manage global vendor relationships, contracts, and internal documentation
Work closely with internal legal teams and global vendors in multiple countries to clarify billing questions and correct data issues
Assisting with the review, and organization of billing-related data for timely submission to our accounting team
Supporting the identification and resolution of billing discrepancies and data issues
Assisting with reconciliation of legal team time, fees, and related billing data
Run regular reports and follow up on missing or unclear billing information.
Maintaining organized billing records and documentation
Requirements:
Bachelor’s Degree (Accounting, Business, or related field preferred)
Foundational understanding of accounting principles and/or data analytics
Strong written and verbal communication skills with both internal stakeholders and clients
Excellent attention to detail and organizational skills
Comfort working with spreadsheets and basic business systems
Comfort working with IT systems and a desire to use them to improve processes
Professional demeanor and willingness to learn in a fast-paced environment
High level of professionalism, discretion, and confidentiality
Preferred Qualifications:
Coursework or Internship experience related to accounting operations or data analytics, academic, or entry-level exposure to billing, accounting, or audit
Strong Excel skills
Interest in global professional services, legal immigration, or accounting operations environments and a willingness to work with people from many countries and cultures
Experience supporting leadership or working in an executive support capacity in team-based or client-facing roles
Familiarity with process improvement or operations-focused roles
Compensation:
The pay rate for this role is $65,000 - $85,000 annualized. This is a full-time, exempt role that can be performed remotely, in-office, or on a hybrid model.
