Overall Function
Our team is looking for an ambitious individual who thrives in a fast-paced, team-focused work environment to join us as an Operations Associate. This role serves as a primary link between our internal departments, corporate home office, and the clients we serve. Successful completion of tasks and responsibilities in this role enables the team to focus their energy and efforts on revenue-generating activities, while fostering and developing impactful, enduring client relationships.
KEY RESPONSIBILITIES
Specific responsibilities may include but are not limited to:
CLIENT SERVICES & ADMINISTRATIVE SUPPORT
Edit, input, and distribute client meeting notes
Provide business operations & administrative support
Process address changes in CRM, CSS, and NetX360
Coordinate client gifts and tickets
Track gifts and tickets
Maintain Gift Log
Manage holiday card distribution
Track licensing and manage renewals and cancellations
Support client website needs, including:
Client registration
eDelivery setup
Account sharing between family members
Assist with client events
(Example: Sever’s Festival – send invitations and track attendees)
Webinars
Send email invitations to quarterly webinars
SCHEDULING
Confirm client meetings
Schedule client reviews
Setup Zoom links and send calendar invitations
Maintain calendars for multiple advisors
PERFORMANCE SKILLS
High sense of urgency with strong attention to detail
Exceptional organizational skills with the ability to follow through and execute in a timely manner
Strong problem identification, analytical and resolution skills
Self-motivated with a high level of initiative and autonomy
Team-oriented mindset with a collaborative attitude
QUALIFICATIONS
Experience in administrative support or customer service; financial services experience preferred
Excellent verbal and written communication skills
Ability to work independently with minimal supervision
Proficiency with Microsoft applications and accurate data entry
Ability to complete tasks within expected timeframes
Strong organizational and time-management skills
High level of accuracy with attention to detail
Proactive mindset with the ability to anticipate needs
Commitment to delivering an exceptional client experience
