Job Summary:
We’re looking for a proactive and practical Operations Assistant to support the smooth running of our London centres. This is a varied, service-focused role, ideal for someone who enjoys staying busy, has strong attention to detail, and takes pride in creating a clean, safe, and welcoming environment for students, staff, and visitors.
As part of the operations team, you’ll deliver excellent customer service while carrying out key day-to-day duties to ensure our premises are maintained to a high standard. These include setting up classrooms, ensuring communal areas are tidy and well-stocked, managing basic facilities tasks, and helping to maintain a safe, hazard-free environment. The role also includes supporting building opening and closing responsibilities, and the potential to train as a workplace First Aider, Mental Health First Aider and Fire Warden.
This is a full-time, on-site position with flexibility required around shift patterns. You’ll work an 7.5-hour shift within our core operating hours (typically between 7:30 AM and 5:30 PM), as needed.
This position offers room for growth and development within a supportive and growing organisation. You’ll gain valuable experience in facilities, customer service, and operations, with opportunities to take on more responsibility as you grow in the role.
Key Responsibilities:
Act as a welcoming first point of contact at reception for students, staff and visitors
Manage phone and email enquiries promptly and professionally, providing product information and technical support as required
Process course and room bookings accurately
Maintain clean and well-stocked communal spaces, including:
Replenishing coffee machines, fruit, and refreshments
Loading/unloading dishwashers
Topping up sanitary and office supplies
Wiping down surfaces and maintaining a presentable environment
Reporting any issues in the building to the appropriate person
Complete handover notes to update colleagues arriving for the next shift
Support delivery team with classroom setup including IT and audiovisual
Light manual handling, and reconfiguration of classroom layouts
Monitor the day-to-day operations of the facility including reporting/resolving health and safety issues, repairs, security and cleaning issues
Opening up and locking up including keyholder responsibilities
Ensuring any issues with security systems are reported
Provide general operational support as directed by management
Essential Skills and Attributes:
Strong interpersonal and communication skills
Friendly, professional, and confident when interacting with customers
Hands on approach to service delivery
Reliable, detail-oriented, and proactive in spotting and solving issues
Able to multi-task and comfortable managing competing priorities in a busy environment
Organised, practical and able to manage time effectively
Must be comfortable with physical tasks as part of daily responsibilities
Flexible and adaptable team player, with the ability to collaborate with different teams across the business
Basic IT literacy (MS Office, email, etc.)
Desirable:
Experience in a customer service, retail, hospitality, or facilities-related role
Understanding of apprenticeships or the accountancy and finance sector
