We’re looking for an Operations & Inventory Specialist to support day-to-day tracking across purchasing, design, compliance, and production for assigned accounts. You will ensure that materials, artwork, labels, and sample requirements move smoothly through the pipeline and meet required timelines.
Requirements:
What You’ll Be Doing:
• Review and monitor Purchase Order status for all orders assigned to your accounts
• Ensure orders stay on schedule; promptly report any delays or changes to the Business Manager
• Track and understand the Bill of Materials (BOM) setup for all assigned items
• Monitor inbound raw materials and ensure timely delivery; communicate issues or delays
• Track Sales Orders, identifying how raw materials and stock levels are affected
• Report inventory or material concerns to the Business Manager
• Coordinate with the Compliance Department to ensure labels, diagrams, and specs meet approval timelines
• Track progress with the Design Team to ensure artwork is aligned with customer requirements and delivered on schedule
• Order and track concept or production samples based on end-customer needs
• Provide updates to the Business Manager on sample status, timelines, and requirements
What We’re Looking For:
• Excellent written and verbal English communication skills
• At least 2 years of experience with inventory systems, BOMs, or order tracking
• Comfortable working with cross-functional teams (Compliance, Purchasing, Design, Production)
• Available to work in US time zones (Graveyard shift in the Philippines)
• Available to start within 2 weeks from job offer
Technical Requirements:
• Comfortable in using time-trackers (e.g. Time Doctor)
• Own laptop/desktop, noise-cancelling headphones, and webcam
• Reliable internet connection (at least 50 Mbps)
• Available backup equipment in cases of power and internet outages
• Proficiency with Microsoft Office tools and Google Workspace
