About the Role
We are seeking a detail-oriented and people-focused US Onboarding Specialist to manage and execute the onboarding process for new hires across the United States. This role ensures a smooth, compliant, and engaging onboarding experience while serving as a key liaison between new employees, HR, Payroll, IT, and hiring managers.
The ideal candidate has strong knowledge of US employment requirements, exceptional organizational skills, and a passion for delivering a positive employee experience from day one.
Key Responsibilities
Coordinate and manage the end-to-end onboarding process for US-based new hires
Ensure completion and compliance of all employment documentation (I-9, W-4, state forms, background checks, etc.)
Conduct new hire orientation sessions and onboarding presentations
Serve as the primary point of contact for new employees during their onboarding period
Partner with HR, Payroll, IT, and hiring managers to ensure timely system access, equipment delivery, and benefits enrollment
Maintain accurate employee records in HRIS systems
Track onboarding metrics and identify opportunities for process improvement
Ensure compliance with federal, state, and local employment laws
Qualifications
At least 1 year of experience in HR, onboarding, or employee operations
Strong knowledge of US employment laws and onboarding requirements
Experience with HRIS platforms and document management systems
Excellent communication and interpersonal skills
High attention to detail and strong organizational skills
Ability to manage multiple onboarding processes simultaneously
