We are seeking a highly organized and detail-oriented Onboarding Coordinator to join our team. This role is essential in delivering a seamless and positive onboarding experience for all new hires across our organization. Responsibilities
Manage and execute onboarding processes for all new hires across multiple offices
Prepare and maintain onboarding checklists to ensure a consistent and seamless experience
Coordinate with IT to set up and troubleshoot all required technology, including laptops, mobile devices and system access
Set up user accounts across platforms including Microsoft (Outlook, Teams), BambooHR, SAP, Yardi, Maintenance IQ and VersaCheck
Prepare workstations, including desk setup, phones and welcome packages for new hires
Coordinate building access, including key cards and security passes
Partner with hiring managers to ensure any role-specific onboarding requirements are fulfilled
Coordinate onboarding logistics across various office locations, ensuring readiness and consistency
Maintain inventory of onboarding supplies, including laptops, phones, keyboards and other equipment
Arrange shipping of equipment and materials to remote employees or other office locations as needed
Order business cards and other onboarding materials for new hires
Coordinate first-day logistics such as team lunches or welcome arrangements where applicable
Support offboarding logistics, including equipment retrieval and system access coordination
Ensure all offices are stocked with necessary onboarding materials and supplies
Education/Experience
Undergraduate degree in a related field
1-2 years of experience in HR, administration, office management, operations or a similar onboarding-focused role
Strong organizational and time management skills with exceptional attention to detail
Excellent communication and interpersonal skills
Proactive, self-starter with the ability to manage multiple priorities
Positive attitude and a strong sense of ownership
Familiarity with HR systems and onboarding tools is considered an asset
