How You’ll Help Us Better Service Our Clients
We are seeking an Office Services Assistant to join our Office Services team. This is a full-time, permanent position— ideal for individuals who are eager for growth, committed to excellence, and looking to build their career in a collaborative environment.
What You’ll Be Doing
You are detail-oriented, proactive, and thrive in a team environment. You enjoy contributing to high-quality work while providing outstanding support to clients and colleagues.
Daily responsibilities and tasks include, but are not limited to:
Office Services
Daily mail sorting and delivery;
Coordinating courier services;
High-volume photocopying and print support for legal professionals;
Responding to staff and lawyer requests, including office supplies and furniture moves;
Managing and replenishing copy room supplies, including lifting and moving boxes of paper (up to 25 lbs).
Host Services
Maintaining shared kitchen (4) and break areas on a daily schedule;
Loading and unloading firm dishwashers while remaining available for time-sensitive clients and meeting needs;
Coordinating service and maintenance for kitchen appliances and coffee equipment;
Stocking and maintaining boardrooms, break areas, and kitchens with appropriate dishware and supplies;
Supporting meetings and events, including room setup, hot beverage service, catered food coordination, and schedule oversight to ensure meetings run smoothly;
Liaising with external vendors and catering partners.
Reception
Providing reception coverage as required.
How You’ll Be a Great Fit for This Role
We’re looking for someone who brings both skills and mindset:
Prior customer service experience;
Experience in a professional services environment;
Excellent verbal and written communication skills;
Flexible and adaptable;
Strong aptitude for technology and comfortable working with MS Office, Windows, and PCs;
Ability to provide outstanding customer service to a variety of internal clients;
The ability to handle stringent deadlines and work with a large volume of tasks, with interruptions and changing priorities;
Excellent organizational skills, with exceptional attention to detail;
The ability to exercise sound judgment, discretion, confidentiality, and adapt to changing demands;
Ability to build rapport with the team, and provide timely support; and
The ability to work both independently and as part of a large collegial team
